Attachments keep supporting files with the record they explain, such as a supplier's bill PDF, an expense receipt, an item's spec sheet or an employee's contract. This page covers how uploads work in each app, which files are accepted, and the limits.

Add attachments in SolaCount
- Open the record (for example an invoice or a bill).
- Find the Supporting Documents panel. With no files it says "No supporting documents yet."
- Click Add Attachment. The Add Supporting Documents dialog opens.
- Drag files onto it ("Drag and drop files here, or") or click Choose files. The dialog reminds you: "Allowed: PDF, JPG, PNG, CSV, XLSX, DOC, DOCX. Max 10 MB per file."
- Wait for the upload to finish. You see "Attachment uploaded."
Each file has:
- Preview — opens the file in the app. Some types show "Preview is not available for this file type." Use Download for those.
- Download.
- Delete — asks Delete attachment — "This file will be removed from the document." Confirm to remove it ("Attachment deleted.").
Attachments are marked Internal — not visible to customers. They are not added to the PDF or the customer link unless you send them separately.
You need permission to edit the record to add or delete attachments. Viewers can preview and download. Uploads are limited to 30 per minute.
Receipt scanning (OCR)
On bills and expenses, eligible plans can scan a receipt to fill in the form:
- It needs the Receipt Scan / OCR feature in the organization's plan, switched on for the workspace.
- The screen shows how many scans are left: "n scans remaining this month."
- If it isn't available: "OCR scanning is not available on your current plan. You can still attach and preview files." or "Receipt scanning not enabled".
Always check the scanned date, supplier, amounts and VAT before saving.
Documents manager
Documents in the SolaCount sidebar is a file area for the whole organization. You can create folders, search, move files, run bulk actions, restore from trash and see your storage quota. See SolaCount documents.
Other apps
- SolaStock — item attachments need permission to manage items to upload or delete, and to view items to see them. Images appear on the item and warehouse pages.
- SolaProjects — attach files to tasks, or use the project's Files tab. Project Docs are written pages, not uploads.
- SolaHR — upload documents on the employee profile and policy files under policies. Access follows your HR role and scope; Department Managers cannot open employee files.
Tips
- "The file is too large." Compress the PDF or split it. Photos from phones are often over 5 MB; resize first.
- Wrong type. Convert HEIC photos to JPG; save spreadsheets as XLSX or CSV.
- Upload stuck. Keep the page open until it finishes. If you see Status not confirmed, check the attachment list before uploading again.
- Don't upload passwords or full card numbers. Redact personal data you don't need.
Worked example
Al Noor Trading LLC receives a bill from Gulf Office Supplies for AED 1,050 (AED 1,000 + 5% VAT). Sara opens the bill in SolaCount, clicks Add Attachment, and drops the supplier's PDF (GOS-INV-2231.pdf, 380 KB). It appears under Supporting Documents marked Internal — not visible to customers. During the VAT review the auditor clicks Preview to match the TRN and the AED 50 VAT against the bill.
