The Team page shows everyone in your organizations, grouped by organization, with each person's organization role and the role they hold in every app. Use it to invite teammates, change what someone can open, and remove people who no longer need access.
Where to find it
- Sidebar: Team — URL
/users. Shown to anyone allowed to view team members (Owners, Organization Managers and Members; not Viewers). - For one organization only: select the organization in the sidebar switcher, then Current organization → Members — URL
/portal/orgs/{organization}/members. - Invitations you have sent: Invitations link at the top-right of the Team page — URL
/invitations. - What each person can do inside each app: Current organization → Application Roles (see Application roles).
What the Team page shows
The page header reads "Everyone in your organizations, grouped by organization, with their role and app access there." Below it:
| Area | What it shows |
|---|---|
| Invite a teammate (top-right, primary button) | Opens the invite form. Shown only if you own at least one organization. |
| Invitations (top-right link) | Your sent invitations and their status. |
| Seat meters | One chip per app (SolaCount, SolaStock, SolaProjects, SolaHR…) with used / limit seats, or Unlimited. A full meter turns red. Shown when you own an organization. |
| Counter | "n in organizations you own · n in organizations you joined". |
| Search box | "Search members, organizations, apps or roles" — filters as you type. |
| Organizations you own | "The teams you built. You can edit, invite and remove members here." |
| Organizations you've joined | "Teams you were invited to or help manage. The owner of each organization manages who is in it." |
Whichever section has people in it is listed first.
Each organization group
Each organization appears as its own card with its logo, name (links to the organization overview), member count and Your role there. A link on the right reads Manage members → (if you can manage that team) or View members →.
Each member row shows:
| Column | Meaning |
|---|---|
| Person | Photo or initials, name (opens their mini profile), email. Your own row is tagged You. |
| Role pill | Organization role: Owner, Manager, Member or Viewer. |
| App chips | One chip per app the person can open in this organization, with their app role — for example SolaCount · Accountant (Member). Owners show Full access. A chip with No role set means the app is granted but no app role is chosen yet. No app access yet means nothing is granted. Hover a chip to see the role per organization. |
| Status | Active, Inactive, Pending and similar. |
| Actions | Edit and Remove, when you are allowed. |
Some app chips have a small arrow icon. It opens that app's own scope page, such as SolaStock → Team access (warehouses) or SolaHR → Team access (departments and employees), when you are allowed to manage it.
Organization roles
Every member has one organization role in each organization (you can give different roles in different organizations, see Edit a member). The app roles are separate (see Application roles).
| Role | Summary (as shown in the role guide) | Can | Cannot |
|---|---|---|---|
| Owner | Full control of the organization, its team, apps and billing. | Invite members; manage members, their access and roles; add and manage apps; edit organization settings; manage billing and subscriptions; use every app in the organization's plan. | — Owners are not limited by app roles. |
| Organization Manager | Runs the team and app assignments, without billing or settings. | Edit and remove existing members; assign members to apps and projects; manage the organization's apps and projects; view and export reports. | Invite new members; change organization settings or delete it; view or manage billing. |
| Member | A regular teammate who works in the apps they are given. | Open the organization workspace; open assigned apps and projects; view team members; view reports. | Invite or manage members; manage apps, projects or settings; access billing; export data. |
| Viewer | Can enter the organization but nothing more at this level. | Open the organization workspace. | Manage anything; view reports or export data. |
Owners = Full access. An Owner can use every app included in the organization's plan, so the Team page and the Application roles page show owners as Full access and never ask you to give them app roles.
Invite a teammate
Only organization Owners can invite. The form lists only the organizations you currently own ("Only organizations you currently own are listed. Your role: Owner.").
- On Team, click Invite a teammate (top-right). URL
/users/create. - In the Invitee panel, choose Account type:
- Independent account (default) — the person signs in with their own account and only gets the organizations and applications you choose. Enter their Email (required).
- Company account — a company address is created in your workspace; the person sets their own password when they accept. Enter the part before the @ in Company email and pick the domain. Domains come from the website of the organizations you tick and from your company domains. Workspace owners can click Add a company domain right here. Then choose Account access: Company only (one organization) or Outsource (needed when more than one organization is ticked).
- In Organizations, tick each organization the person should join. With only one organization it is ticked for you. For each ticked organization:
- Pick the Organization role (Owner, Organization Manager, Member, Viewer — you can only grant roles below your own, except that an Owner can add another Owner).
- Under Applications, tick each app to grant (SolaCount, SolaStock, SolaProjects, SolaHR — only apps in that organization's plan that you may grant appear).
- For each ticked app, choose its role in Choose a role. A one-line description appears under the picker. SolaCount offers Accountant (Member), Finance Manager, Finance Viewer, Sales and Purchasing (see Sales and Purchasing roles). If the role is Owner, no app list is shown: "Owners have full authority in this organization, including every application in its plan."
- For a company account, Employee portal controls lets you allow Create organizations.
- Check the Review panel. It lists each organization, the role, and each app with its role (or "All applications in the organization's plan" for an owner).
- Click Send invitation. The button shows Sending… until the server answers.
You return to Team with "Invitation sent to j***@example.com!". If some seats were full you see "Invitation sent to … with partial project access — 1 of 2 selected projects were granted."
The role guide
On the right of the invite form, the Role guide explains every role in plain language. Point at, focus or change any role picker in the form and the guide jumps to that role. You can also browse: the tabs at the top switch between Organization and each app, and the chips or the dropdown pick a role. Each card shows a summary, Can and Cannot lists and the scope (for example "Only in assigned warehouses. Chosen in SolaStock → Team access."). Roles already chosen in this invite are marked Chosen in this invite.
Form checks and messages
| Message | Why |
|---|---|
| Enter a valid e-mail address. | Independent-account email is missing or malformed. |
| Enter the part of the address before the @. / Enter only the name before the @ sign. | Company email name is empty or contains @. |
| Choose the e-mail domain. / Add a company domain first. | No domain chosen, or none available. |
| Select at least one organization. | No organization ticked. |
| Choose a role for every selected application. | An app is ticked without a role. |
| This person is already an active member of Organization. Edit their existing access instead of sending a new invitation. | Re-invite rule — see below. |
| There is already a pending invitation for this email address. | Resend or revoke the existing one instead. |
| You cannot invite someone with an equal or higher role than yours. | Role ceiling. |
Re-invite rules
- You cannot invite someone who is already an active member of any organization you selected. Open their Edit page and change their roles and apps there.
- You cannot send a second invitation while one is pending for the same email.
- A revoked or expired invitation does not block a new one.
- An invitation link is valid for 7 days. Resending sends a fresh email; only the newest email link works.
Manage invitations
Open Team → Invitations (/invitations).
- Filter tabs at the top show counts per status (pending, accepted, expired, revoked).
- Each row shows the email, name and Accepted, Revoked, Expires or Expired date with a status badge.
- Resend — sends the email again (limit: 3 resends per minute). Message: "Invitation resent to j***@example.com."
- Revoke — asks "Revoke invitation?" — "email — the invitation link will stop working." Confirm to cancel it ("Invitation cancelled.").
- Send invitation (top-right) opens the invite form.
Pending invitations also appear at the bottom of the Application roles page with "Roles apply once they accept".
Edit a member
There is one member editor for everything: organization role, apps and app roles together. The Team list, the organization Members page and the Application roles page all open it.
- On Team (or Members), click Edit on the person's row. URL
/users/{user}/edit. - In Account details, change Name if needed. Names and emails of people from another workspace cannot be changed.
- In Organizations, tick or untick organizations. For each ticked organization the card has its own Organization role (Owner, Organization Manager, Member or Viewer), then the apps and a role for each app. The role is chosen per organization: Sara can be Member in one organization and Viewer in another.
- Only an organization owner can change the Organization role or untick that organization. If you manage the organization without owning it, the card shows "Organization role: Member" and "Only an organization owner can change this role."; you can still change that person's apps and app roles there.
- You cannot demote or remove the last active owner: "The organization must retain an active owner."
- Check Review, then click Save changes (Saving… while it works). You see "User updated successfully!".
Edit appears only for people you outrank (or yourself). Owners cannot be changed by Managers. Since 6 October 2026 a legacy SolaProjects "manager" role stored for an older member is recognised as Projects Manager in the editor. Company accounts also show Advanced permissions below the form for users with the assign-roles permission (direct permission checklists by group).
Remove or deactivate a member
- Remove on the Team page's organization group removes the person from that organization. The dialog "Remove member?" says "name (email) — will lose access to Organization."
- On an organization's Members page, Remove removes them from that organization.
- In the full member directory, Remove says "will be removed from every organization in your workspace."
- Deactivate (company and workspace users you outrank) blocks sign-in to your organizations until Reactivate. Seats are freed immediately ("User deactivated successfully. Seats were freed immediately."). On reactivation, apps whose seats are full are not restored.
You cannot remove or deactivate yourself, an Owner, or someone with an equal or higher role. The messages are "You cannot delete your own account.", "Client owners cannot be deleted." and "You cannot remove a user with an equal or higher role than yours."
All of these use the shared confirmation dialog. Nothing changes until you confirm. If the connection drops and the result is unclear, you see Status not confirmed — "We could not confirm whether the change completed. Check the current status before submitting again." Click Check current status and reload the list instead of clicking again.
Organization Members page
Current organization → Members lists only that organization's people:
- Role filter buttons (All, Owners, Managers, Members, Viewers, with counts) and a search box ("Search members, apps or roles").
- Columns: Member, Org role, Apps & roles, Status.
- Add member (top-right, for those who can invite) adds an existing workspace user. Pick User, Role and Apps. Apps whose seats are full cannot be ticked. If the person is already in the organization you see "This user is already a member of this organization."
Seats
Each app's plan has a user limit per organization. A person counts against a seat when they have access to that app. When an app is full:
- Its checkbox is disabled in Add member.
- Invitations are sent with partial access, and the message says how many apps were granted.
- Assigning a user on the app's Members page fails with "Cannot assign user. This project has no free seats."
Free a seat by removing app access from someone, deactivating them, or upgrading the plan (Billing & subscriptions).
Mini profiles and privacy
Click any person's name to open their mini profile (/portal/people/{user}).
- The profile shows name, email, Company account or Independent account, "On Solavel since" and, if set, "Works mainly at Organization".
- Organizations you share lists the organizations you are both in, with their role and app access there.
- Also part of lists other organizations only if the person chose to show them. Even then you see their role, never their app access.
- Profiles are only visible to people who share an organization: "Profiles are only visible to people who share an organization. Other organizations are private unless the person chooses to show them."
Set your own main organization and visibility in Account Settings → Profile & privacy (Account settings).
Team notifications
Owners and Organization Managers of the organization get a notification (bell and Notifications page, category Team) when:
| Event | Example text |
|---|---|
| Someone accepts an invitation | "Sara Ahmed joined Al Noor Trading LLC" — "Sara Ahmed accepted your invitation and joined as Member with access to SolaCount." |
| A member is added | "Omar added Sara Ahmed as Member." |
| An organization role changes | "Omar changed Sara Ahmed's role in Al Noor Trading LLC from Member to Manager." |
| App access is granted or removed | "Omar gave Sara Ahmed access to SolaStock in Al Noor Trading LLC." |
| An app role changes | "Omar made Sara Ahmed … in Al Noor Trading LLC." |
| A member is removed | "Omar removed Sara Ahmed from the team." |
The person affected also gets a notification, for example "Welcome to Al Noor Trading LLC" or "Your app role changed". The person who made the change is not notified. Notifications link to View team (admins) or Open portal (the member). See Notifications.
Worked example
Al Noor Trading LLC (Dubai) owns two organizations: Al Noor Trading LLC and Al Noor Logistics FZE. Mariam, the owner, hires Sara as an accountant who also needs read-only stock visibility.
- Mariam opens Team → Invite a teammate, keeps Independent account, enters
sara@gmail.com. - She ticks Al Noor Trading LLC, role Member, ticks SolaCount → Accountant (Member) and SolaStock → Inventory Viewer.
- The Role guide shows that an Accountant can create, post and send invoices and file VAT returns, but cannot change settings or reopen periods. The Inventory Viewer only sees assigned warehouses.
- Review shows: Al Noor Trading LLC · Member — SolaCount · Accountant (Member), SolaStock · Inventory Viewer. She clicks Send invitation.
- Sara accepts. Mariam gets "Sara Ahmed joined Al Noor Trading LLC".
- Mariam opens SolaStock → Team access and assigns Sara the Dubai Main warehouse. Until then, Sara sees no warehouse.
Later Sara also needs to approve fixed assets. Mariam clicks Edit on Sara's row and changes SolaCount to Finance Manager. A second invitation is not needed (and would be refused, because Sara is already an active member).
Tips and common problems
- I can't see Invite a teammate. You don't own any organization. Managers can edit and remove existing members but cannot invite.
- The person never got the email. Check Invitations, click Resend, and ask them to check spam. They can also sign in with the invited email and open Your invitations.
- "No role set" on an app chip. The app is granted without a role. Pick one on Application roles or in Edit.
- A SolaStock or SolaHR user sees nothing. Their role is scoped. Assign warehouses or departments in that app's Team access page.
- SolaCount-only members still see inventory. SolaCount's built-in inventory stays available according to the SolaCount role. Advanced SolaStock and SolaProjects features need separate access.
