SolaStock

Last updated

SolaStock is Solavel's inventory and warehouse app. It keeps your item catalog, warehouses with zones and bins, live stock balances, and every stock movement in one ledger, and it runs purchasing, sales fulfillment, lot and serial traceability, recalls and inventory reports on top of that ledger. It can also connect to SolaCount so stock activity reaches your accounts.

Where to find it

  • From the Solavel Portal (solavel.com): open SolaStock from your organization's app card or the app launcher. SolaStock opens for the organization that is active in the Portal.
  • URL: https://solavel.com/inventory/dashboard. Every page in SolaStock lives under /inventory/ (for example /inventory/items).
  • To switch organization, use the organization switcher at the top of SolaStock (Switch organization), or switch in the Portal and reopen SolaStock.

You only see SolaStock if your organization's plan includes it and the organization owner (or someone allowed to manage members) has given you access to SolaStock in Team. See Team.

How you get SolaStock

SolaStock is sold as part of SolaCount plans:

SolaCount plan SolaStock
Free, Standard, Premium Not included. SolaCount's own built-in inventory features stay available according to your SolaCount role.
Advanced Included (SolaStock together with SolaProjects).
Enterprise Included. Enterprise is arranged with Solavel and is not self-service.

Plan limits (for example the number of items) are enforced. When you reach one, SolaStock shows: "Your plan limit for this resource has been reached. Upgrade to add more." A feature your plan does not include shows: "This SolaStock feature is not available for the current plan or entitlement state." Landed costs are decided by an explicit plan flag: where the plan does not include them the Landed Costs menu item is hidden and its page says "Landed costs are available from the SolaStock Professional plan." The plans that include landed costs are Professional, Premium and Enterprise (Landed Costs).

Navigation

The sidebar shows Dashboard at the top, then collapsible groups. Click a group name to open it; one group is open at a time and the group of the current page opens automatically. « Collapse shrinks the sidebar to icons. On a phone or a narrow window the sidebar becomes a drawer opened with the menu button in the top bar; it closes when you pick a page, press Escape or the window width changes. You only see items your role allows. All URLs are under /inventory.

The groups appear in this order: Operations, Catalog, Stock, Purchasing, Sales / Fulfillment, Traceability, Insights, Admin.

Pages without a menu item: the SolaCount events page and Catalog Synchronization (reached from the SolaCount page), and the Warehouse notifications bell in the top bar.

The top bar

From left to right:

  • Menu button (narrow screens only) opens the sidebar drawer.
  • Organization pill with the organization's name and initials. If you belong to more than one organization it is a menu titled Switch organization listing Your organizations; the current one is ticked and each shows Active or Setup. Picking another organization reloads SolaStock in that organization. Picking the one you are already in simply closes the menu: nothing is switched or reloaded.
  • Search pages and actions... (Ctrl K or Cmd K): a command palette that jumps to any page you can open or any create action. Type to filter, arrows and Enter to choose, Esc to close.
  • Quick add (plus icon): New item, New purchase order, Receive goods, New sales order, New transfer, New adjustment, New stock count, each only if your role allows it.
  • Warehouse notifications bell for members who can receive goods; see Warehouse notifications.
  • Language button (عربي / English) and light/dark toggle. On a phone these two move into the account menu.
  • Account menu (your initials): your name, email and organization, a Solavel Portal card (opens in a new tab), Your apps tiles for the other Solavel apps you can open, followed by a Documentation tile with the black Solavel logo (white in dark mode) that opens these SolaStock guides in a new tab (it is always there, even when you have no other apps), My profile, Settings (if you manage settings), language and theme on phones, and Sign out.

The top bar and its menus resize with the window; menus stay inside the screen on phones, including in Arabic (right-to-left).

If you open a page your role does not allow (for example from a bookmark), you see Access denied — "This page requires additional SolaStock permissions."

Roles

Your role in SolaStock is chosen in the Solavel Portal when you are invited or edited in Team (see Application roles). Which warehouses you work in is chosen inside SolaStock on the Team access page.

Role What it can do Warehouses
Organization owner Everything in SolaStock. All
SolaStock Administrator Same authority as the owner inside SolaStock: every permission, every warehouse, settings, the SolaCount connection, report scheduling and managing other members' warehouses and custom roles. Grants nothing outside SolaStock (no billing, no organization members, no other apps). All
Inventory Manager View dashboard, items, warehouses, stock, ledger, sales and reports; receive goods; transfer stock; pick, pack, ship; reserve stock; manage zones and bins; create and edit purchase orders; view, create, approve, post and return internal consumption. Cannot export, edit the catalog, create warehouses, post adjustments or opening stock, change settings, or schedule reports. Assigned only
Warehouse Manager View; receive goods; transfer; pick, pack, ship; reserve; manage zones and bins; approve, post and return internal consumption. Assigned only
Warehouse Operator View; receive goods against an approved purchase order; transfer between assigned warehouses; pick, pack, ship; reserve; create internal consumption issues. Assigned only
Inventory Viewer Read-only: dashboard, items, warehouses, stock, sales and fulfillment. Assigned only

Organization-level roles without a SolaStock role still work: a Manager or Member gets broad inventory operating rights (including exports, but not settings), a Viewer gets read-only access, and an Accountant gets read-only stock, ledger and reports plus SolaCount accounting review. Older roles appear on Team access as Stock Manager (legacy) and Warehouse User (legacy).

Key rules:

  • Scoped roles see nothing until warehouses are assigned. Inventory Manager, Warehouse Manager, Warehouse Operator and Inventory Viewer only see stock, documents and reports for warehouses assigned to them on Team access. With none assigned, the Team access page shows "No warehouses assigned — they see nothing".
  • Opening a document in a warehouse you are not assigned to shows "You are not assigned to this warehouse."
  • Exporting is a separate permission (Export inventory reports). Scoped presets do not include it; owners and SolaStock Administrators have it, and an administrator can include it in a custom role.
  • A custom role (built in Settings) replaces the invited role's permissions inside SolaStock for that member. It never narrows an owner or SolaStock Administrator.

Shared behaviour across SolaStock

  • Posting a stock document (opening stock, adjustment, goods receipt, shipment and so on) writes movements to the stock ledger and locks the document. You always confirm first in a dialog titled "Post …?": "Posting writes stock movements to the inventory ledger and locks this document. It cannot be edited afterwards."
  • Reversing appends opposite ledger entries and keeps the original: "Reversing appends opposite ledger entries from the original source. The original entries remain unchanged."
  • Deleting a barcode, image or supplier price, or removing a role assignment, also asks for confirmation first.
  • Success and error messages appear as notices at the top of the page. If the connection drops while saving, you see Status not confirmed — "We could not confirm whether the change completed. Check the current status before submitting again." Click Check current status to reload the document instead of submitting twice.
  • Only inventory items can move stock. Service and non-inventory items never appear in stock documents, and the item type alone decides whether stock is tracked; an item with stock history cannot change between stock and non-stock. See Items.
  • Dates on new purchase orders, sales orders and goods receipts default to today in your own calendar, and receipt and shipment dates are stored without being shifted by time zones.
  • Default warehouse. A new organization gets a Main Warehouse, and warehouse fields on new documents are pre-selected with the default one when you are allowed to use it. See Warehouses.
  • Documents that start in SolaCount (supplier bills, invoices, cash sales) arrive as Receiving Requests, Fulfillment Requests and Cash Sale Dispatch; the bell in the top bar tells the warehouse about them.
  • Quantities and prices accept up to four decimal places.
  • The app follows your Solavel account language and light/dark theme. Many messages, including notifications and permission names in role management, are available in English and Arabic.

Worked example

Al Noor Trading LLC subscribes to SolaCount Advanced. The owner, Mariam, invites Omar Haddad with SolaStock role SolaStock Administrator and Sara Ahmed as Warehouse Operator. Omar opens SolaStock, creates the Dubai Main (code DXB-MAIN) and Jebel Ali (JA-01) warehouses, adds units and categories in Settings, creates items, and posts opening stock. In Admin → Team access he assigns Jebel Ali to Sara. Sara now sees only Jebel Ali stock, receives approved purchase orders there, and picks and ships orders from it.

Second example, one week later. Mariam connects SolaStock to SolaCount. The accountant, Nadia, sends supplier bill BILL-2610-0457 (500 cartons at AED 3.20) to the warehouse. Omar sees a bell notification Purchase awaiting warehouse review, opens Purchasing → Receiving Requests, assigns Dubai Main and approves. Sara receives 300 cartons (stock value AED 960.00) and later the remaining 200. Next, a customer invoice INV-2026-0318 arrives on Sales / Fulfillment → Fulfillment Requests; Omar approves it for Dubai Main, which creates the sales order, and Sara ships it. On the 11th the workshop uses 12 bottles of engine oil: Sara prepares an issue on Operations → Internal Consumption, Omar posts it, and AED 222.00 moves from Inventory to Vehicle maintenance expense in SolaCount.
