Warehouse and purchasing alerts

Last updated

When SolaCount raises a sale or a purchase that involves physical stock, SolaStock gets a fulfilment request (goods to dispatch) or a receiving request (goods to receive). Solavel then sends an in-app alert to the people who can act on it, so the warehouse hears about it without anyone phoning or messaging. Since 7 and 8 October 2026 these alerts are written in English and Arabic, and each real change produces one alert instead of repeats.

This page explains who gets these alerts, what each title means, why you will not get duplicates, and what to do when you receive one.

Where to find it

  • The bell in the Solavel portal's top bar and the Notifications page (category System). See Notifications.
  • Inside SolaStock, where the alert opens the matching request.

Who receives them: only people who both (a) have the authority in SolaStock to receive or dispatch goods for that request's warehouse (see the SolaStock roles in Application roles) and (b) can open SolaStock in that organization. SolaStock decides the first condition and Solavel re-checks the second before sending. Owners and others without that warehouse authority are not alerted.

Email: these alerts are in-app only. They are not emailed, whatever your email preferences say.

The alerts

Every alert starts with a line naming the organization, the source document and the request, for example Al Noor Trading LLC · INV-2026-0142 · FR-57. FR is a fulfilment (dispatch) request for an invoice, CS a cash sale dispatch, RR a receiving request for a bill.

Sales and cash sales (dispatch)

Title Meaning What to do
Sale awaiting warehouse review A sale needs a warehouse before goods can go. "Open FR-57 and confirm only goods physically dispatched." Open the request and review it.
Sale ready for dispatch The sale is approved and a warehouse is assigned. Pick, pack and dispatch; confirm only what physically left.
Sale partially dispatched Some quantities have gone. "Review dispatched and remaining quantities in FR-57." Check what remains.
Sale fully dispatched Everything requested has gone. Nothing more.
Fulfillment finished The request closed with part of it undelivered because the sale was credited (invoice) or refunded (cash sale). "Review the dispatched quantities and undelivered quantities closed by credit." Review; no further dispatch is expected. A credit is not shown as a physical dispatch.
Fulfillment request cancelled The request was cancelled. Shipments already recorded are kept. Nothing more.
Warehouse setup needed The request is visible but no authorised warehouse is configured yet. Ask a SolaStock Administrator to configure the warehouse.

The button reads Open fulfillment (or Open cash dispatch for cash sales) and opens the request in SolaStock.

Purchases (receiving)

Title Meaning
Purchase awaiting warehouse review A bill needs review before receiving. "Open RR-23 and confirm only goods physically received."
Purchase ready for receiving Approved with a warehouse assigned.
Purchase partially received / Purchase fully received Some or all quantities received.
Receiving request cancelled Cancelled; earlier receipts are kept.
Warehouse setup needed No authorised warehouse is configured yet.

The button reads Open receiving.

Handoff and sync problems (administrators)

People who manage the SolaStock integration with SolaCount also receive alerts when a document or a record could not be passed to SolaCount: Finance handoff needs attention, Finance handoff pending, Finance handoff resolved, Warehouse document reversed, and for suppliers, customers, items, units and categories … sync to Finance needs attention / … sync to Finance resolved. Each says in plain words what is wrong (for example a supplier that matches more than one record) and opens Review handoff, Review sync events or Review catalog sync. They go to the people SolaStock identifies as responsible for the integration (not to every warehouse user), each person once per incident, and they do not change any record themselves.

Why you get one alert per change

  • An alert is created once for each real change of state of a request (awaiting review, ready, partly done, done, cancelled). Receiving the same state again does nothing.
  • For purchases, posting or changing the bill in SolaCount without changing the warehouse situation does not send a new alert.
  • Every person is alerted once per change. Reopening a closed problem counts as a new episode.
  • The text is stored in English and Arabic, so it does not depend on whoever triggered it.

Worked examples

Example 1: a sale of 120 cartons

Al Noor Trading LLC posts invoice INV-2026-0142 to Meem Warehouse Co. for 120 cartons of LED panels, AED 22,200.

  1. SolaStock creates fulfilment request FR-57. Khalid (Warehouse Manager, Jebel Ali) and Salim (Warehouse Operator, Jebel Ali) get Sale awaiting warehouse review. Mariam, the owner, does not (she has no warehouse role).
  2. The request is approved and Jebel Ali is assigned. Khalid and Salim get Sale ready for dispatch.
  3. Salim dispatches 80 cartons today: Sale partially dispatched. The next day 30 go: another Sale partially dispatched.
  4. The customer cancels the last 10 cartons and Finance issues a credit note for them. The request closes with Fulfillment finished: "Review the dispatched quantities and undelivered quantities closed by credit". It does not say "fully dispatched", because 10 cartons never left.

Example 2: a purchase bill that is corrected

Al Noor Trading LLC records a bill from Gulf Lighting FZE for 200 fittings, AED 14,000.

  1. Huda, the receiving clerk (Warehouse Operator), gets Purchase ready for receiving with RR-23.
  2. The accountant edits the bill's reference in SolaCount and re-posts it. No new alert arrives, because the warehouse situation did not change.
  3. Huda receives all 200: Purchase fully received.
  4. Two integration administrators separately receive Supplier sync to Finance needs attention earlier in the week because Gulf Lighting matched two supplier records. After they choose the right match, they receive Supplier sync to Finance resolved.

How it connects

Part Relationship
Notifications Where the alerts are listed and marked read.
Application roles The SolaStock roles that decide who is alerted.
Sales and Purchasing roles The SolaCount roles of the people who raise the documents; they are not the recipients.
SolaStock team access Warehouses are assigned in SolaStock → Team access; without a warehouse you are not alerted.

Tips and common problems

Problem Cause Fix
I never receive dispatch alerts. No warehouse assigned to you, or no SolaStock access. Ask a SolaStock Administrator for Team access, and an owner for SolaStock access.
The alert is in English though I use Arabic. Each alert is stored in both languages; the language shown depends on the screen that displays it. Switch the language in the app where you read it, and report any screen that stays in English through Reports → New report.
I expected an email. These alerts are in-app only. Check the bell.
Two alerts for the same sale. They are two different changes (for example ready, then partially dispatched). Read the titles.
The alert says warehouse setup needed. No authorised warehouse exists for the request. A SolaStock Administrator adds or assigns one.
