Receiving an invitation

Last updated

When an organization owner invites you, you get an email with a link to join. This page explains how to accept: with an existing Solavel account, with a new account, or with Google. It also covers the Your invitations inbox and what you can open once you have joined.

Where to find it

  • The invitation email — subject "You've been invited to join Workspace name". The button opens /invitation/{token}.
  • Your invitations — sidebar link in the Solavel portal, URL /account/invitations. It lists every pending invitation sent to your verified email address, so you can accept even without the email.
  • After accepting: the You've joined page (/invitations/{id}/joined).

What the invitation page shows

A pending invitation opens Join your organization with:

  • Invited by name of the person who invited you.

  • One block per organization ("Joining Organization") with every app and what you will get:

    Line Meaning
SolaCount · Accountant (Member) The app and your role there.
App · Assigned access The app is granted; the role is set inside the app.
App · No access That app is not part of this invitation.
"Organization owner: full authority in this organization and its included applications." You are invited as an Owner.
  • The sign-in or sign-up form that fits your situation (below).

Accept with an existing account

If a Solavel account already exists for the invited email:

  1. Open the link. The page shows Sign in with your email.
  2. Sign in with your password (or Continue with Google if that's how you sign in).
  3. You return to the invitation. Click Join organization.

If you are already signed in with a different account, the page says "You are signed in with a different account. Switch accounts to accept the invitation sent to email." Click Switch account. You are signed out and the invitation opens again so you can sign in with the right account. An invitation can only be accepted by the account with the invited email.

Accept with a new account

If there is no account for the invited email yet:

  1. Open the link. Invited email is filled in and cannot be changed.
  2. Enter Your name, Password and Confirm password (the platform's password rules apply).
  3. Click Join organization.

"Joining with this invitation verifies the invited email address." You don't need a separate verification email. You are signed in straight away.

Company accounts: if the owner created a company address for you (for example sara@alnoor.ae), you also set your own password here. Company invitations cannot be accepted with Google.

Accept with Google

For a personal (independent) invitation, the page also shows Continue with Google.

  1. Click Continue with Google and choose the Google account for the invited email.
  2. Confirm when asked. Google sign-up asks you to confirm before creating the account.
  3. You join the organization and land on the You've joined page.

Your account then has no Solavel password. The portal offers Set a password ("You signed up with Google. Add a password if you also want to sign in with your email.") with Maybe later to dismiss it. See Account settings.

Possible messages:

  • "This invitation cannot be accepted through Google. Please reopen your invitation." — for example a company invitation, or the Google email does not match.
  • "Google sign-in could not be completed. Please try again."

The Your invitations inbox

When you sign in or sign up with a verified email that has pending invitations, Solavel can show Your invitations before you set up your own workspace: "Join an existing organization before setting up your own workspace. Choose which invitations to accept."

Each card shows the organization name, Applications (or "Organization membership only"), Roles and Expires.

  • Click Accept invitation on each one you want.
  • Click Not now — continue to skip. "Skipped invitations stay available under Your invitations in the portal until they expire or are revoked."
  • With nothing pending: "You have no pending invitations for this email." and a Continue button.

You can open the inbox later from the portal sidebar: Your invitations.

After you join — the You've joined page

After accepting you see Invitation accepted — You've joined Organization:

  • "Your access is ready. These are the apps and roles you were given:" — each app, your role and Ready.
  • Continue to SolaCount (and similar buttons for each app you can open now: SolaStock, SolaProjects, SolaHR).
  • Open my Solavel portal.
  • Your other invitations — back to the inbox.
  • "Signed in as email. You can switch between your organizations anytime from the portal."

A success notice reads "Invitation accepted. Your selected application access is ready." The organization you joined becomes your current organization in the portal.

What you can access after joining

  • Portal: Workspace Home shows the organization's apps. Apps granted to you show Available to you. Others show Access required.
  • Each app: what you can do depends on your app role (see Application roles). Scoped roles (warehouses in SolaStock, departments in SolaHR) see nothing until an administrator assigns the scope in that app's Team access page.
  • Team: Members and above can view team members of the organization.
  • Billing: only Owners.

The owners and managers of the organization are notified that you joined. You get a "Welcome to Organization" notification.

When the link doesn't work

Page title Message What to do
You're already a member "This invitation has already been accepted. Sign in to open your workspace." Click Sign in.
This invitation has expired "This invitation has expired. Ask your organization owner for a new invitation." Invitations last 7 days. Ask for a new one.
This invitation was cancelled "This invitation was cancelled. Contact your organization owner." The owner revoked it.
Invitation link not valid "This link is invalid or was replaced by a newer invitation. Use the latest email or contact your organization owner." Only the most recent invitation email works.
(on accept) "This invitation is no longer available." / "This invitation is no longer available for your account." It was revoked, expired or accepted meanwhile, or belongs to another email.
(on accept) "This account already exists. Sign in to accept." Sign in first.

Worked example

Sara receives "You've been invited to join Al Noor Group" at sara@gmail.com.

  1. She clicks the button. Join your organization shows Invited by Mariam Al Hashimi, Joining Al Noor Trading LLC: SolaCount · Accountant (Member), SolaStock · Inventory Viewer, SolaProjects · No access, SolaHR · No access.
  2. She has no Solavel account, so she clicks Continue with Google and picks sara@gmail.com.
  3. You've joined Al Noor Trading LLC lists SolaCount and SolaStock as Ready. She clicks Continue to SolaCount.
  4. In SolaStock she sees no warehouses until Mariam assigns Dubai Main in SolaStock → Team access.
