Time

Last updated

The Time tab is where your team records the hours spent on one project. Each record is a time entry: a date, a duration, an optional task and notes, and (on billable projects) whether the time can be charged to the customer. You can type the duration, run a stopwatch, or round it to 15, 30 or 60 minutes.

Use it every day or at the end of each week to log your work, then click Submit so a manager can approve it on Time Approval. Approved billable time then flows to Customer Approval (if the project needs it) and to Billing, where it becomes a draft invoice in SolaCount.

Who uses it:

  • Members log and submit their own time.
  • Project managers see everyone's time on the project, fix entries and submit for others.
  • Approvers and finance read it to understand what is coming to them.

The Time tab shows durations and statuses only. Hourly rates and amounts are worked out on the server and never appear here. The only screen that shows money for time is Billing.

Where to find it

Item Value
Sidebar Project group → pick the project in the project picker → Time
Command palette Press Ctrl+K (or Cmd+K), type "Time", choose Time · {project} under Current project
URL /projects/{project}/time
Plan Standard plan or higher (time tracking). The tabs Time, Time Approval, Customer Approval and Billing belong to the same feature and appear together.
Who sees it Every project member who can open the project, except Viewer (guest) members.

The Log time button appears only when time logging is switched on for your organization. Without it you can still read entries but cannot add new ones.

Your own time across all projects is on My Time in the workspace sidebar (/projects/my/time) — see My Time below.

Screen tour

The page has four parts, top to bottom.

1. The Time card (header and filters)

The card title is Time. The subtitle tells you whose entries you are looking at:

You are Subtitle You see
Organization owner, Projects Administrator, or a Projects Manager who is a project Manager "All logged time for this project. Durations and status only — no rates or money." Every member's entries.
Anyone else "Your logged time on this project. Durations and status only." Only your own entries.

Buttons at the top-right of the card:

Button What it does
Refresh Reloads the list and the summary tiles.
Log time Opens the Log time dialog. Shown only when time logging is on.

Filters (they apply as soon as you change them and reset the list to page 1):

Filter Options
From / To Date range on the entry date.
Status All statuses, Draft, Submitted, Approved, Rejected.
Task All tasks or one task of the project.
Member All members or one person. Shown only to people who see the whole team.
Reset Clears all filters.

2. Summary tiles

Tile Value Note under it
Total logged Total duration of the entries you can see. Across the whole team or Your entries.
Non-billable Total minus billable. Exact, rounded, or stopwatch entries
Billable Billable duration. Ready for approval and billing workflows when billing is on for this project, Historical entries only when it is off.
Pending approval Number of entries in Submitted. Waiting for review or Nothing pending.

The tiles follow your scope (team or own entries); they do not follow the filters.

3. Time entries table

Card title Time entries — "Financial values are intentionally excluded from this view."

Column Meaning
Date Entry date.
Member Who the time belongs to. Only when you see the whole team.
Task Linked task, or a dash.
Duration Hours and minutes, e.g. 2h 30m.
Mode Billable (green) or Non-billable (grey).
Status Approval status: Draft (grey), Submitted (amber), Approved (green), Rejected (red, with the approver's reason underneath).
Billing Billing status: Non billable, Unbilled, Pending customer approval, Ready to bill (green) or Billed. See Statuses.
Notes The entry's notes.
(actions) Submit and Edit, only when that action is allowed for the row.

Entries are listed newest first, 15 per page. Under the table: Prev, "Page 2 of 4 · 52 total", Next.

Empty state: No time entries — "Use Log time to record project work." (or "No time has been logged for this project yet." when you cannot log time).

4. The Log time / Edit time dialog

Opened by Log time or a row's Edit. The top note reads Safe React time entry — "Date, duration, task, notes and billable mode are submitted. The server calculates rate, cost and billing state." The footer has Cancel, Delete (edit only, when allowed) and Log time / Save changes.

Log time on a project

  1. Open the project and click Time in the sidebar.

  2. Click Log time (top-right of the Time card).

  3. Fill in the dialog:

Field Required Rules / defaults Notes
Date Yes Today or earlier. Future dates are refused.
    Hours One of Hours/Minutes 0–24
Minutes One of Hours/Minutes 0–59 Total must be at least 1 minute and at most 24 hours (1,440 minutes).
Stopwatch No Starts at 00:00:00 See Use the stopwatch.
Rounding No Exact (default), Nearest 15m, Nearest 30m, Nearest 60m Applied when you save.
Task No — No task — Only this project's tasks are offered.
Notes No Up to 5,000 characters. Shown on Time Approval, Customer Approval and as invoice context.
Billable No Unticked Shown only when time billing is on for this project (see below).
Rate source When Billable Auto Auto, Project rate, Member rate, Manual rate.
Currency When Billable The project's billing currency 3-letter code that exists in your currency list, e.g. AED.
Manual hourly rate When Manual rate — 0.01 to 999,999.99.
  4. Click Log time.

Result: "Time logged." The entry appears as Draft. Nothing goes to an approver until you click Submit.

If a field is wrong, the dialog stays open and lists the problems at the top, for example "Pick a date.", "Enter a duration.", "The entry date field must be a date before or equal to today."

How rounding works

Rounding goes to the nearest step, never below one step:

Typed Nearest 15m Nearest 30m Nearest 60m
5 min 15 min 30 min 1h
52 min 45 min 1h 1h
53 min 1h 1h 1h
2h 27m 2h 30m 2h 30m 2h

Use the stopwatch

  1. In the dialog, click Start. The clock counts up while the dialog stays open.
  2. Click Stop when you finish (you can Start again to continue).
  3. Click Use timer. Hours and Minutes are filled from the elapsed time, rounded up to the next whole minute.
  4. Click Log time.

The stopwatch is not saved anywhere. Closing the dialog, saving, leaving the page or reloading resets it to zero. For long sessions, note your start time and type the duration.

When can time be billable?

The Billable checkbox appears only when both are true:

  • your organization has time billing switched on (a SolaCount setting), and
  • the project's billing type is not Non-billable.

The billing type and currency are set on the project in SolaCount (Billing method on the project form) and shown read-only in the project's Settings → Billing policy. New projects created in SolaProjects start as non-billable.

Message Cause
"Non-billable projects cannot accept billable time entries." The project is non-billable.
"Billing rate selection requires time billing to be enabled." Time billing is off for the organization and a rate field reached the server. The Time form now sends no rate, currency or billable choice in that case (since 5 October 2026), so you should only meet this message from an old cached page or the API. Reload and log the time again.
"Manual rate is required when manual rate source is selected." Manual rate with an empty Manual hourly rate.
"Billing currency is required when no project billing currency exists." Manual rate on a project with no currency. Type e.g. AED.

Rate sources

You choose where the hourly rate comes from; the server stores the rate on the entry. You never see it on this tab.

Rate source Rate used Currency used
Auto The member's rate on this project effective on the entry date; if none, the project's default billable rate. That rate's currency.
Project rate The project's default billable rate. Project billing currency.
Member rate The member's project rate effective on the entry date (set from a rate card). The rate card's currency.
Manual rate What you type in Manual hourly rate. Currency field, else the project currency.

A billable entry with no rate can still be saved, submitted and approved, but it stays Unbilled and never reaches Ready to bill. Ask your project manager to apply a rate card before you submit.

The labor cost of the entry (for profitability) is also calculated in the background from the member's cost rate or the project's default cost rate.

Edit an entry

  1. Click Edit at the end of the row. Edit time opens with the saved values.
  2. Change what you need. The stopwatch and Rounding work the same as when logging.
  3. Click Save changes. You see "Time entry updated."

Rules:

  • You can edit Draft, Submitted and Rejected entries, and Approved entries that the customer rejected. Approved and Billed entries have no Edit button.
  • Saving any entry that is not a draft returns it to Draft and clears its approval history. Click Submit again afterwards.
  • Saving recalculates the rate from today's rate settings for the entry date.

Delete an entry

  1. Click Edit on the row.
  2. Click Delete in the dialog footer (shown only when you may delete it).
  3. Confirm Delete time entry — "This time entry will be removed. Existing billing restrictions still apply." The entry date is shown as the reference. Click Delete time entry (or Cancel).

You see "Time entry deleted." The deletion is recorded on the project's Activity tab.

Who Can delete
Member Own Draft and Rejected entries.
Project manager, Projects Administrator, owner Any entry that is still editable (not approved, not billed).

Billed entries can never be deleted ("Billed time entries cannot be deleted."). Ask finance to unbill them on Billing first.

Submit time for approval

  1. Find a Draft or Rejected row (or a customer-rejected one).
  2. Click Submit at the end of the row.

You see "Time submitted for approval." The status becomes Submitted and the entry appears on Time Approval. There is no bulk submit; submit each row.

Only draft, rejected or customer-rejected entries can be submitted: "Only draft, rejected, or customer-rejected entries can be submitted." Project managers can submit on behalf of a member.

Statuses and lifecycle

Every entry has an approval status (column Status) and a billing status (column Billing).

Approval status

Status Meaning Allowed
Draft Saved, not sent for review. Edit, delete, Submit.
Submitted Waiting for an approver. Edit (returns it to Draft), approver approves or rejects. Members cannot delete it.
Approved Accepted internally. Locked. Nothing on this tab, unless the customer rejects it.
Rejected Sent back by the approver. The approver's reason appears under the badge on this tab. Edit, delete, Submit again.

Billing status

Billing status Meaning
Non billable Not billable. Never invoiced.
Unbilled Billable but not approved yet, rejected by the customer, or no rate found.
Pending customer approval Approved internally; the customer has not decided.
Ready to bill Approved (and customer-approved if required) with a rate. Listed on Billing.
Billed On a SolaCount invoice. Locked.
Draft ──Submit──▶ Submitted ──Approve──▶ Approved ──(customer approves, if required)──▶ Ready to bill ──Create draft invoice──▶ Billed
  ▲ │ │
  └──Edit + Submit── Rejected customer rejects → Edit + Submit

The reason an approver types when rejecting an entry is shown under the Rejected badge on this tab and on My Time (since 5 October 2026). A reason given by a customer is stored but not shown here; the approver should pass it on.

My Time (your personal timesheet)

My Time (workspace sidebar) lists every entry you logged on any project. Header: Personal timesheet / My Time, with Refresh and Log time.

  • Tiles: Total logged, Non-billable, Historical billable (billable time logged earlier on project Time tabs), Pending approval.
  • Filters From, To, Clear dates. Columns Date, Project (with code), Task, Duration, Mode, Status. 15 per page.
  • Log time asks for Project, Date, Hours, Minutes, Notes. The entry is always Non-billable and has no task: "Time logged (non-billable)."

To submit, edit, delete, add a task or make time billable, use the project's Time tab. More in Dashboard and My Work.

Worked examples

Example 1 — quick daily entry

Omar Haddad works on Al Noor Trading LLC — Website Redesign (code ALN-WEB), an hourly project in AED. His rate card gives him AED 350/hour.

  1. Omar opens the project → Time → Log time, clicks Start and works on the task "Checkout page".
  2. After 2 hours 27 minutes he clicks Stop, then Use timer (Hours 2, Minutes 27).
  3. He sets Rounding to Nearest 15m, ticks Billable, leaves Rate source on Auto, notes "Checkout layout and payment step", and clicks Log time.
  4. The row shows 2h 30m · Billable · Draft · Unbilled. Behind the scenes the rate is AED 350 (his member rate), so the entry is worth AED 875.00.
  5. He clicks Submit: Submitted, and Pending approval goes up by 1.

Example 2 — a week with a rejection

Sara Khan manages the project. During the week of 5 October:

Date Member Task Duration Mode
5 Oct Omar Haddad Checkout page 2h 30m Billable
6 Oct Omar Haddad Checkout page 6h Billable
7 Oct Omar Haddad Internal training 1h Non-billable
7 Oct Lina Saeed Product photos 4h Billable
  1. Omar and Lina submit their entries. Sara's tiles show Total logged 13h 30m, Billable 12h 30m, Non-billable 1h, Pending approval 4.
  2. On Time Approval Sara rejects Omar's 6h entry with "Split between Checkout and Cart tasks".
  3. Omar sees Rejected on the 6 Oct row. He clicks Edit, changes it to 4h on "Checkout page", saves ("Time entry updated.", status Draft), logs a separate 2h on "Cart", and submits both.
  4. Sara approves everything. Billable rows now show Ready to bill (or Pending customer approval if the project needs the customer's sign-off); the training hour stays Non billable.

How it connects

  • Time Approval: submitted entries appear there for approvers.
  • Customer Approval / Billing: approved billable entries move on to the customer and then to a SolaCount draft invoice.
  • Overview → Finance: Ready to bill and Pending customer approval counts.
  • Reports and project progress use logged hours. See Reports.
  • SolaCount: labor cost of approved time feeds project cost and profitability. See Project profitability.
