Projects

Last updated

The Projects page is the directory of every project you can see in the current organization. From here you find a project, open it, star the ones you use most, create a new project, duplicate an existing one as a template, and archive or restore projects.

A project is the container for everything else in SolaProjects: its team, tasks, files, time, budget, plan and reports. Owners and Projects Administrators use this page to manage the portfolio; managers and members use it mostly to find and open their projects.

Where to find it

How Details
Sidebar Menu → Projects (folder-tree icon).
Keyboard Press G then P (outside a text field).
Command palette Ctrl K → type the project name or code to jump straight into a project.
URL /projects/all. /projects/create opens this page with the New project dialog already open.
Sidebar project picker Under Project, the dropdown lists your visible, non-archived projects (name · code) — a quick switch without this page.

Who sees it: everyone with SolaProjects access, on every plan. The list contains:

Your access Projects listed
Organization owner / Projects Administrator All projects in the organization, except ones you are explicitly restricted from in the Portal.
Projects Manager / Projects Member Only projects where you are a member (any project role).

Open, star and find projects

  • Open: click a card, the name in list view, or →.
  • Star: click Star (or the ☆ icon). Starred projects sort to the top and can be isolated with Starred only. Stars are personal and per organization. Errors: You can't star this project. / Could not update the star.
  • Find an archived project: tick Show archived.

Duplicate a project

Use a finished job as the template for a new one.

  1. Click Duplicate (card) or Duplicate project (list).

  2. The Duplicate project dialog: "Name — A new copy of this project will be created using the options below."

    Field Default Rules

Errors: You can't duplicate this project. (you need both edit rights on the source and the create-project permission) or Could not duplicate the project.

Archive a project

  1. Click Archive on the card or list row (or use Settings → Danger zone, see Settings).
  2. The Archive project dialog: "Name — This project will be hidden from active lists. It can be restored later. Type its project code to confirm. CODE".
  3. Type the code in Project code exactly. The button stays disabled until it matches.
  4. Click Archive project. You see Project archived.

The project leaves the active list, the Dashboard counts, the sidebar picker and the time-log picker. Nothing is deleted. Wrong code: Confirmation did not match. Type the project code exactly.

Restore a project

  1. Tick Show archived.
  2. Click Restore on the archived project.
  3. Restore project: "Name — This project will become active and appear in the active list again." Click Restore project.
  4. You see Project restored. Status is Active again.

Statuses

Status Meaning Allows
Active Work in progress. Default for new and duplicated projects. Everything.
Completed Delivered; still listed. Everything; counts toward Dashboard completion.
On hold Only on projects carrying it from older data or integrations. You cannot choose it when creating or editing, and it is no longer a filter option. Everything.
Archived Hidden from active lists. View via Show archived; Restore.

Project health

Health is separate from status. Each project carries a health value — On track by default — shown on the Overview and used by the Dashboard at-risk counter (At risk, Blocked, Delayed, Warning) and Project Groups roll-ups. Since 5 October 2026 this stored value is recalculated from the project's tasks whenever the Dashboard, a Project Group, the Reports portfolio summary or the Overview loads, so these screens now agree with Reports. (Before that nothing updated it and projects stayed on On track even when Reports showed a problem.)

Reports and the AI assistant also calculate a live health score from tasks. It starts at 100 and drops for overdue tasks (up to −30), blocked tasks (up to −25) and a passed target date with open work (−25):

Result Rule
Completed Project status is Completed.
Blocked At least one task is blocked.
Delayed Score below 55.
At risk Score below 80.
On track Otherwise.

Portal restrictions on a specific project (view, edit, delete) always win.

Worked examples

Example 1 — create a project

Omar Haddad (Projects Administrator) at Al Noor Trading LLC wins a showroom job.

  1. Projects → New project: Code aln-fit, Name Al Noor Showroom Fit-out, Customer Meem Trading, Manager Sara Khan, Start 2026-10-11, End 2026-12-15.
  2. Create project → Project created. The Overview opens for ALN-FIT (code capitalised).
  3. The Team tab shows Omar and Sara as Manager. Billing is Non-billable until set in Settings.

Example 2 — reuse and tidy the portfolio

  1. Omar ticks Show archived, finds last year's Jumeirah Retail Fit-out (JRF), clicks Duplicate.
  2. Code JRF-2027, Name Jumeirah Retail Fit-out 2027, keeps Copy tasks, clears Copy project members → Project duplicated. The copy has 42 tasks; only Omar is on the team.
  3. Back on the list he stars it (it now sorts to the top) and archives the finished Dubai Main Warehouse Racking by typing DMW-RCK → Project archived.
  4. The Dashboard active counter stays at 9 (one project added, one archived); the archived project disappears from the sidebar picker.

Archive/Restore buttons missing. Only owners and Projects Administrators. Ask one of them.
"Your plan allows up to 5 projects…" Free plan, archived projects count. Upgrade the plan.
Archive button stays disabled. Typed code doesn't match. Type the code exactly (capitals).
