The Team tab controls who works on a project and what they can do there. It lists the project's members with their project role (Manager, Member, Viewer), their task load and last activity, and — for people who manage the team — the Client and guest access tools: guest invitations, a shareable guest dashboard link, and public intake forms that let clients submit requests that become tasks.
Project managers and administrators use it to staff the project and open it to clients safely; everyone else uses it to see who is on the project.
Where to find it
| How | Details |
|---|---|
| Sidebar | Project → Team (users icon), third project tab. |
| Command palette | Ctrl K → Team · project name. |
| URL | /projects/{project}/team. |
Who sees it: everyone who can open the project. Only people who can manage members (owner, Projects Administrator, and the project's Managers) see Add member, role selectors, Remove and the Client and guest access card. Guest dashboard links and intake forms need the Standard plan or higher (public sharing).
Project roles
| Role | What it allows in this project |
|---|---|
| Manager | Edit the project, manage members, create/assign/move/delete tasks, manage documents, approve time, manage guest access. (Requires a Portal role of Projects Manager or above.) |
| Member | View the project, update tasks assigned to them, comment, log and submit their own time, work with documents they can see. |
| Viewer | Guest-style access: sees only Guest-visible, non-private tasks and guest-visible documents; can comment; cannot update tasks or log time. Used for clients and external stakeholders. |
Owners and Projects Administrators see and manage every project whether or not they are on its team. Only active organization members with SolaProjects access can be added; anyone else is refused with "Only active organization members with Projects app access can be assigned."

Tasks
Add a member
- Click Add member. Add team member opens.
- Find user — Search by name or email…; pick the person in User; choose the Role.
- Click Add. You see Member added.
| Message | Cause |
|---|---|
| Choose a user to add. | No user selected. |
| That user can't be added (already a member or invalid). | Already on the team, or not eligible. |
| You're not allowed to add members. | You can't manage members. |
| Could not add the member. | Other failure. |
The project's chosen manager and the creator are added as Manager automatically when a project is created.
Change a role
- On the member card choose a new Role.
- It saves at once: Role updated.
If the change would leave the project with no Manager, or would raise someone above what your own role allows: That is not allowed. Projects must keep at least one manager and roles cannot be escalated.
Remove a member
- Click Remove on the card.
- Confirm Remove project member — "This member will lose access through this project membership." (the name is shown).
- You see Member removed. Their tasks stay; reassign them on the Tasks tab. The last Manager cannot be removed.
Invite a guest or client
- In Client and guest access, type the Guest email (for example client@example.com).
- Choose Role: Viewer (default; guest view) or Member.
- Click Invite. You see Invitation created. and the Latest access URL field shows the invitation link — copy it and send it.
Rules: the invitation expires after 14 days; the guest must sign in with the same email to accept; one pending invitation per email ("A pending invitation already exists for this email."); someone already on the team is refused ("This user already has project access."). Invitation cards show the email, role and status Pending, Accepted or Revoked.
Revoke an invitation
- Click Revoke on the invitation card.
- Confirm Revoke invitation — "This invitation will no longer grant access to the project."
- Invitation revoked. (Already-accepted guests stay members; remove them from the member list.)
Share the project dashboard
- Click Share dashboard.
- You see Dashboard link created. and the URL appears in Latest access URL. Copy it immediately — the full link is shown only once.
The link opens a read-only Guest Project Overview for anyone with the link, with no sign-in: progress, milestones and guest-visible items only. Manage, password-protect, expire or revoke share links as described in Guest share links.

Worked examples
Example 1 — staffing a new project
Omar Haddad (Manager) opens Al Noor Showroom Fit-out → Team. He clicks Add member, searches Sara, picks Sara Khan, role Member → Member added. He adds Yousef Ali as Member and later promotes Sara to Manager → Role updated. Stats: Managers 2 · Members 1 · Viewers 0 · Open tasks 21.
Example 2 — opening the project to the client
- Omar invites procurement@meemtrading.ae as Viewer → Invitation created.; he emails the link. Two days later the card shows Accepted; the client appears as a Viewer and sees only guest-visible tasks.
- He clicks Share dashboard → Dashboard link created. and sends the URL to Meem's CEO, who doesn't need an account.
- He creates intake form Meem change requests, Task status To do, Assignee Sara Khan, fields Name, Email, Request type (Dropdown: Design change, Extra item), Needed by, Summary → Intake form created.
- The client submits "Add two display shelves, needed by 20 Oct". Task
ALN-FIT-44appears in To Do assigned to Sara; Omar reviews and clicks Approve → Submission approved.
