Reports

Last updated

The Reports tab of a project brings together everything you need to judge how the project is going: progress and health, task mix, risks, time, workload, planning, and (if you are allowed to see finance) revenue and profitability. From the same tab you can export a summary, print a status report, save filter views, capture snapshots and preview what guests will see.

Where to find it

Sidebar Project section (under the project picker) → Reports (after Playground, before Activity)
URL /projects/{project}/reports
Command palette Reports · {project name} under Current project
Exports /projects/api/projects/{project}/reports/export/pdf and /xls (the PDF and Excel buttons)

The Reports tab is shown on every project, to everyone who can open the project. It is not hidden by plan; the Feature status card on Settings shows whether reports are switched on for your organization. Some actions need edit rights on the project (see Who can do what).

Who uses it: project managers for weekly reviews and client updates, administrators and owners for health and profitability, and team members to see their own workload.

For a view across many projects, use the workspace Dashboard in the main sidebar and the Portfolio report card on this tab (see Project groups).

Screen tour

The page is a column of cards under a Reports header card — Project status, completed work, risks, workload, planning, and time at a glance. Export buttons sit at the top-right of the header; the filter bar is inside it. While loading you see Loading reports; on failure "We couldn’t load reports." with Retry; with nothing to show, No report data.

Filter the report

The Reports header card has a filter bar. All cards below follow it.

Filter Notes
From / To Date range. Leave blank for all dates.
Assignee All assignees or one project member.
Status All statuses, Backlog, Todo, In progress, Review, Done or Cancelled.

Click Reset to clear all filters. The report reloads as soon as you change a filter.

Header buttons (top-right of the Reports card)

Button What it does
Print Opens a printable Project Status Report in a new tab, using the current filters. Needs edit rights on the project; members without them get an access error.
PDF Downloads project-{id}-report.pdf.
Excel Downloads project-{id}-report.xls.
Guest status Opens the Guest status report page (see Guest status report).
CSV Downloads project-{id}-workload.csv, the Workload by member table.

The PDF and Excel exports contain one row per metric: Project, Status, Progress, Total tasks, Completed tasks, Open tasks, Overdue tasks, Blocked tasks, Completion rate, Total time minutes, Billable time minutes and Non-billable time minutes. They use the From, To, Assignee and Status filters you have set. Files download straight to your browser; no money figures are included.

The workload CSV has the columns Member, Role, Open tasks, Overdue, Urgent/high, Estimate minutes, Logged minutes, Capacity %, Utilization %, Allocation % and Load state.

The report cards

The cards appear in this order.

  • Budget vs actual: Planned budget, Actual cost, Variance.
  • Revenue status: Invoiced, Collected, Outstanding.
  • A per-currency table (Currency, Revenue, Cost, Profit, Margin) when the project has amounts in more than one currency.

If finance is connected but your role cannot read summaries, the card says "Financial report summaries are not available for this user." See Project profitability.

Save views, custom reports and snapshots

All of these are in the Saved reports and snapshots card.

Save a view (anyone who can open the project)

  1. Set the filters you want.
  2. Type a name in View name (required, up to 80 characters; placeholder Weekly delivery view), for example "Weekly delivery view".
  3. Click Save view. You see "Report view saved."

Saved views are listed as buttons; click one to apply its filters. Views you save here are private to you. Delete a view with its bin icon ("Report view deleted."); you can delete your own views, and project editors can delete any.

Save a custom report

  1. Under Custom report builder, enter a Report name (placeholder Delivery KPI report).
  2. Choose Group by: Status, Priority, Assignee, Type or Day.
  3. Tick the metrics (at least one, up to eight): Total tasks, Completed tasks, Open tasks, Overdue tasks, Blocked tasks, Completion rate, Total time, Billable time, Non-billable time.
  4. Click Save custom report. You see "Custom report saved."

The custom report appears in the saved views list. Clicking it applies its saved filters to the tab.

Capture a snapshot (project editors): click Capture snapshot. The current figures are stored as "Manual report snapshot" ("Report snapshot captured.") and appear in Report snapshots.

Schedule snapshots (project editors)

  1. Pick Daily, Weekly or Monthly in the list next to Schedule.
  2. Click Schedule. You see "Report schedule saved." and a line such as "Scheduled Weekly · next 12 Oct 2026".

On each due date SolaProjects captures a snapshot automatically using the filters you had when you saved the schedule. Scheduled snapshots are stored on the tab; they are not emailed. Saving again replaces the schedule.

Users without edit rights see "Project managers can capture snapshots and manage schedules." and the two buttons are disabled. If an action fails, the card shows the error, or "Report action failed."

Guest status report

Click Guest status in the header to open the Guest status report page: "Only guest-visible project information appears here." It shows the project, customer and generation time, then Progress, Completed this period, Upcoming work, Visible blockers, Next steps and Visible docs. Use Print view or Print page for a printable copy, and Back to reports to return.

Use this page to check what a client will see before you send a guest link. Creating and managing guest links is covered in Guest shares.

Worked examples

Example 1 — Check your own workload (everyday)

Sara Khan opens Reports on Al Noor Showroom Fit-out (ALN-FIT), sets Assignee to herself and Status to In progress. Workload by member shows her row at Capacity 92% (amber) with 2 overdue tasks; Risks & overdue lists them. She moves one due date and clicks Reset.

Example 2 — Weekly status pack (full scenario)

Omar Haddad manages the "Dubai Main showroom fit-out" project for Al Noor Trading LLC.

  1. On Thursday he opens Reports, sets From 1 Oct 2026 and To 7 Oct 2026, and leaves Assignee on All assignees.
  2. Project status shows 62% complete, health At risk, 3 overdue tasks. Recommended actions suggests clearing the overdue joinery tasks.
  3. Workload by member shows Sara with an Overloaded badge at 115% capacity, while Assignment suggestions proposes another installer for two unassigned tasks.
  4. Revenue and profitability shows Revenue AED 210,000, Cost AED 164,000, Profit AED 46,000, Margin 21.9%, with AED 60,000 outstanding.
  5. He saves the filter as "Weekly delivery view", clicks Capture snapshot, then sets Weekly and Schedule so a snapshot is taken every week.
  6. He downloads PDF for the internal meeting and opens Guest status to check what the client will see before sending the guest link.
