Guest share links

Last updated

A guest share link lets someone outside your organization open a read-only view of a project document or a project status page, without a Solavel account. You can protect a link with a password, let guests comment on or edit a document, set an expiry date, and revoke the link at any time.

Guests never see internal tasks, internal comments, time logs or private documents.

Where to find it

What Where
Share a document Open the project → Files → a guest-visible document card → Public sharing → Generate
Share a project dashboard Open the project → Team → Client and guest access card → Share dashboard
Revoke a document link The same document card → the link row → Revoke

Guests open links at /shared/projects/{token} on solaprojects (older links may use the short form /p/projects/{token}). Add /print for the print view.

Use guest links to show a client progress without giving them a Solavel login, to collect comments on a document, or to let a trusted contact correct a document. Project managers create and revoke links; the guest only needs the URL (and the password, if you set one).

What you can share

Link type Created from What the guest sees
Guest Document A guest-visible document in Files The document title, its body, a Guest-visible chip, and optionally comments or an edit form
Guest Project Overview Share dashboard on the Team tab The guest status report (below)
Guest Status Report Guest status sharing from the project's reports The guest status report (below)

Only documents marked guest-visible can be shared. An internal document shows "Make this document guest-visible before sharing." instead of the Generate button.

Access modes

Mode Guest can read Guest can comment Guest can edit title/body Use for
View only (default) Yes No No Status notes, final documents.
Can comment Yes Yes (name optional, 2–5,000 characters) No Drafts awaiting client feedback.
Can edit Yes No Yes (every save is a new version) Trusted contacts correcting a document.

Link statuses

Status Meaning What the guest sees
Active Valid, not expired, document still guest-visible. The shared page (after password, if set).
Expired Past its expiry date. This shared page is unavailable.
Revoked Revoked on the document card. This shared page is unavailable.
Content withdrawn Document made internal or archived. This shared page is unavailable.

Create a document share link

  1. Open the project and click Files.

  2. Find the document. It must show the Guest-visible badge (not Internal).

  3. In its Public sharing box (which shows the number of active links), click Generate.

  4. In the Generate share link dialog fill in:

    Field Required Notes
Expiry date No Must be after today. The link stops working at the end of that day. Leave empty for no expiry.
Access mode Yes (default View only) View only, Can comment or Can edit.
Password No At least 8 characters. Guests must enter it before the page opens.

The note reads: "The full link is shown once. Passwords are hashed and never displayed again."

  5. Click Generate. You see "Share link created." and a Share link created card with the full URL.

  6. Click Copy ("Link copied.") and send it to your guest. Dismiss the card with ×.

Copy the URL straight away: it cannot be shown again. If you lose it, revoke the link and generate a new one.

Each existing link is listed on the card as status · access mode · Password/No password · views · Expires date.

Share a project dashboard

  1. Open the project and click Team.
  2. In Client and guest access, click Share dashboard.
  3. You see "Dashboard link created." The URL appears in Latest access URL — click it to select and copy.

The links badge on the card counts the project's share links.

Revoke a link

  1. Open the project → Files and find the document.
  2. On the link row, click Revoke (shown only for active links).
  3. Confirm Revoke share link: "This link will stop granting access to the shared document."

You see "Share link revoked." The guest immediately gets the unavailable page. Revoking cannot be undone; generate a new link if needed.

Revoking is always allowed, even if your plan no longer includes public sharing, so you can always take a link down.

What the guest sees

Password page

A protected link first shows Protected Shared Project Link — Password required, with the link title. The guest types the Password and clicks Open shared page. A wrong password shows "The password is incorrect." Once accepted, the browser session stays unlocked for that link.

Shared document

The page shows Project Document, the title, the Guest-visible chip and the document body. Depending on the access mode:

  • Can comment — a Comments section with an optional Name, a Comment box (2–5,000 characters) and Add comment. After posting: "Comment added." The latest 25 public comments are listed, or "No comments have been added yet."
  • Can edit — an Edit document form with Title (required) and Body, and Save document. After saving: "Document updated." Every guest edit saves a new document version.

Guest comments and edits, and every view, are recorded in the project's Activity.

Guest status report

Status and dashboard links open a report with:

  • the project name, "Guest Status Report for {customer}", "Generated {date}" and, if set, "Available until {date}";
  • tiles: Guest-visible progress, Completed visible tasks, Open visible tasks, Visible blockers;
  • sections Completed, Upcoming (with due dates), Blockers (with the blocked reason) and Shared Documents (up to 12, with updated dates).

Only guest-visible, non-private tasks and documents appear. Empty sections say, for example, "No upcoming guest-visible tasks are included yet." The report is shown in English or Arabic, with dates formatted for that language.

Printing

Every shared page has Print view (opens the print layout) and Print (opens the browser print dialog) at the top. The footer reads: "This read-only page was shared securely through SolaProjects. Internal tasks, comments, time logs, and private documents are not included."

When a link stops working

An invalid, expired or revoked link, or one whose document is no longer guest-visible or was archived, shows:

This shared page is unavailable The link may have expired, been revoked, or the project content may no longer be guest-visible. The shared page cannot be displayed. Please contact the project owner if you need a refreshed link.

The page does not say which reason applies.

Worked examples

Example 1 — Quick status link (everyday)

Sara Khan opens Team on Al Noor Showroom Fit-out (ALN-FIT), clicks Share dashboard and sees Dashboard link created. She copies the Latest access URL into a WhatsApp message to Al Noor Trading LLC. The client sees Guest-visible progress 64%, 9 completed and 5 open visible tasks, and 1 visible blocker — but none of the internal snagging tasks or time logs.

Example 2 — Commented floor plan (full scenario)

Al Noor Trading LLC is fitting out an office for Gulf Horizon Properties. Project manager Omar Haddad marks the document "Floor plan v3" as guest-visible, then on Files clicks Generate, sets Expiry date to 30 Nov 2026, Access mode to Can comment, and a password. He copies the link and emails it, with the password sent separately by phone.

The client opens the link, enters the password, reads the plan and adds a comment "Please move the pantry to the east wall." Omar sees it under the document's comments and in Activity. After sign-off he clicks Revoke; the client now sees "This shared page is unavailable".

Rules

  • Creating or revoking a link requires permission to edit the project (project manager, organization owner or admin).
  • Creating links requires the public-sharing feature in your plan (Standard and above). Without it the request is refused with "SolaProjects feature access is not currently available for this organization."
  • Each link is tied to one organization and project through its token; a guest can never see another organization's data through it.
  • Links are scoped to guest-visible content. Making a document internal again or archiving it disables its links.
  • Guest pages are rate-limited against repeated requests.

How it connects

Where Link
Documents Only guest-visible documents can be shared; guest edits create versions.
Team access Client and guest access card and Share dashboard.
Reports Guest status report and Guest status preview show the same guest-safe data.
AI Draft guest status creates a guest-visible note you can then share.
Integrations share_link.created webhook event.
Activity Link creation, views, guest comments and edits are logged.

Tips and common problems

Problem Cause Fix
No Generate button; Make this document guest-visible before sharing. Document is Internal. Mark it guest-visible first.
Lost the link URL. It is shown only once. Revoke and generate a new link.
Guest sees This shared page is unavailable. Expired, revoked, or document no longer guest-visible/archived. Check the link row; generate a new link.
The password is incorrect. Wrong password. Resend it; you cannot view it — generate a new link if forgotten.
SolaProjects feature access is not currently available for this organization. Plan below Standard. Upgrade; revoking still works.
A task is missing from the guest report. Task is not guest-visible or is private. Make it client-visible on the task.
You can’t share this document. / Could not revoke the share link. No permission or a failed request. Ask a project Manager; reload and retry.

Good practice: use View only unless you need feedback, always set an expiry date, and send the password through a different channel from the link.
