Calendar

Last updated

The Calendar tab shows the project's dated tasks on a month grid, so you can see when work is due, spot crowded days, and check who on the team is free or overloaded on a given day (the Resource calendar). It is a planning view: you read it here and change dates on the task itself.

Managers use it to balance workload and plan deadlines; members use it to see what is due when.

Where to find it

How Details
Sidebar Project → Calendar (calendar icon), after Files.
Command palette Ctrl K → Calendar · project name.
URL /projects/{project}/calendar.

Who sees it: everyone who can open the project, on every plan. It is read-only for everyone. A project Viewer (guest) sees only the tasks marked Guest-visible that are not Private; internal and private tasks are left out of the grid (since 5 October 2026), so a client can no longer learn their titles from the Calendar.

Tasks

See what is due this week

  1. Open Calendar. The current month shows with today selected.
  2. Look at the cells for this week; click a day to list all its tasks in the side panel.

Check workload before assigning

  1. Click the day a new task would be due.
  2. Read the Resource calendar: choose someone Available or Busy, not Overloaded.
  3. Open Tasks, create or edit the task, set the assignee and due date (and an estimate so capacity counts it).
  4. Reload the Calendar to see the updated load.

Move a deadline

  1. Click the task card on the calendar — the task opens on the Tasks tab.
  2. Change Due date and save.
  3. Return to Calendar; the task moves to its new day.

Look ahead or back

Use › and ‹ to change month; Today returns.

Statuses

Tasks keep their own statuses (Backlog, To Do, In Progress, Review, Done). Cancelled tasks never appear; Done tasks appear but don't count towards availability.

Worked examples

Example 1 — a quick look

Sara Khan opens Al Noor Showroom Fit-out → Calendar in October 2026: 14 tasks this month · 38 dated total. Thursday 8 October shows ALN-FIT-14 · Install display lighting (amber bar, High · Sara Khan) and ALN-FIT-21 · Order signage (teal, Medium · Omar Haddad). She clicks the lighting card and lands on the task.

Example 2 — balancing workload

Omar Haddad needs someone for Snag list walkthrough (estimate 4h) due Sunday 11 October.

  1. He selects 11 October. Resource calendar: Sara Khan — Member · 2 due · 6h · 3h logged → Busy; Layla Mansour — Member · 3 due · 9h → Overloaded; Yousef Ali — Member · 0 due · 0h → Available.
  2. He assigns the task to Yousef with due date 11 Oct and estimate 4h.
  3. Back on Calendar, Yousef shows 1 due · 4h → Busy; the day cell lists the new task.

Tips and common problems

Problem Cause Fix
A task is missing. No due date, or it is Cancelled. Add a due date on the Tasks tab.
Someone shows Available but is busy. Work in other projects isn't counted, or tasks have no estimate. Add estimates; check their other projects.
Too many tasks in a cell. Only 3 shown. Click the day for the full list.
Calendar didn't update after editing. The page doesn't auto-refresh. Reload the tab.
