Workspace setup

Last updated

A brand-new SolaHR workspace starts with a short guided review called Set up SolaHR. It makes the person who sets the workspace up look at three things on purpose before anyone uses it: the organization details (and logo), the payroll settings (above all the payroll currency), and the attendance rules. Until the review is confirmed, the rest of SolaHR is closed, so no payroll month or attendance day is ever calculated with settings nobody has looked at.

The review exists because defaults are safe but not always right. A workspace that opens in US dollars when your books are in dirhams, or with a Friday-Saturday weekend when your company works Saturday, would quietly produce wrong pay. The review turns "we assumed" into "somebody confirmed".

Workspaces that already have employees when this feature arrived (October 2026) were marked as reviewed automatically and never see this page.

Where to find it

  • You are taken there automatically: opening any SolaHR address in a new workspace redirects to /setup. The sidebar shows only Set up SolaHR and Settings.
  • URL: /setup.
  • After you finish, the page changes to Your HR workspace is ready with a button to the Dashboard.
Who What they can do
Users with Manage HR settings (Owner, SolaHR Administrator) Everything: edit the three sections, upload the logo (owner only), confirm and finish.
Users with View HR settings only Read the page and open the sections. They cannot finish: "An organization owner or authorized HR administrator needs to complete setup."
Anyone else Sees the page title only; sections stay closed.

What the page shows

The title is Set up SolaHR — "Get organization name ready for its HR workspace."

  1. Overview card: the badge Settings review required, a counter such as "2 of 3 sections have required details" and the explanation "Review your organization details, then the payroll and attendance settings included in your plan. Confirm them before opening the workspace." With a button Add missing details (when something is missing) or Start reviewing settings.

  2. Details still needed: a list of the sections that are not ready, each a link to its Settings tab.

  3. One card per section, numbered, each with a badge Ready for review or Details required, a short description and a button Review settings:

    Section What it checks Opens
Company details — "Confirm the company name, contact details and time zone." The organization has a name and a time zone. Also shows the organization name and the shared logo: "Your organization logo is shared with your applications and HR documents. Adding a logo is optional." The owner sees Add organization logo (optional) or Change organization logo; others see "Only an organization owner can change the shared logo." /settings?tab=company
Payroll settings — "Review payroll currency, working days and working hours." (only if your plan includes payroll) The payroll currency has been confirmed against Finance, working days and hours are above zero, and the pay frequency and the payroll preparation deadline are set. /settings?tab=payroll
Attendance settings — "Set working hours, grace periods and non-working days." (only if your plan includes attendance) Work start and end times exist and the weekend (non-working days) has been saved. /settings?tab=attendance
  4. Confirm your review: a checkbox I have reviewed and confirmed the HR settings. and the button Finish setup. Until every section is ready, the text says "Add the required details listed above before finishing setup." and the button stays disabled. It is also disabled until the checkbox is ticked.

If the logo permission cannot be checked, the card says "Logo permissions could not be checked. You can still review the organization settings." with Try again.

Confirming the payroll currency

In a new workspace the payroll currency is not taken from a default. It is read from the organization's base currency in Finance, and shown for you to confirm. On the Payroll Defaults tab the notice reads Confirm payroll currency before finishing setup — "Finance uses AED. Review this currency and save payroll settings to confirm it for this new HR workspace." Saving the tab confirms it; the section turns Ready for review. If Finance has no base currency, the notice says "Set the organization base currency in Finance, then reload this page. Payroll currency cannot be confirmed yet." and the section stays Details required. See Payroll Settings.

Finishing

  1. Open each section with Review settings, change what is wrong and Save on the Settings tab. Use Back to setup (shown on the Settings page while the review is pending) to return.
  2. When all sections read Ready for review, tick I have reviewed and confirmed the HR settings. and click Finish setup.
  3. SolaHR records the completion in the Audit Log and opens the Dashboard. The full sidebar appears, including the Employee Numbering tab on Settings.

Finishing is checked again on the server: if something became incomplete in the meantime, you see "Review the required company, payroll and attendance settings before finishing setup."

While the review is pending, any other address answers with "Complete the organization HR setup before using this feature." instead of the page.

Worked example 1: a new Dubai company

Al Noor Trading LLC subscribes to SolaHR on 12 October 2026 and Mariam (Owner) opens it for the first time.

  1. She lands on Set up SolaHR. The counter reads "1 of 3 sections have required details": Company details is ready (the organization already has a name and the time zone Asia/Dubai), payroll and attendance are not.
  2. Company details: she clicks Add organization logo (optional), chooses al-noor.png and Upload logo. The logo now appears in the top bar and will print on payslips.
  3. Payroll settings: Review settings opens the Payroll Defaults tab with "Finance uses AED". She keeps working days 30 and hours 8, sets the Payroll preparation deadline to 25 and clicks Save. The section turns Ready for review.
  4. Attendance settings: she sets 09:00–18:00, grace 10 minutes, ticks Saturday and Sunday as Non-working days, Save.
  5. Back on Set up SolaHR: "3 of 3 sections have required details". She ticks the confirmation box and clicks Finish setup. The Dashboard opens.

Worked example 2: an HR assistant cannot finish

Noura Al Zaabi (HR assistant) has View HR settings only. She opens the page, sees the three cards, and notices the payroll currency is still unconfirmed. She cannot save or finish: under Confirm your review the page says "An organization owner or authorized HR administrator needs to complete setup." She sends Mariam the link /settings?tab=payroll; Mariam confirms the currency and finishes the setup.

Tips and common problems

Problem Cause Fix
Every page redirects to Set up SolaHR. The review is not finished. Finish it; only Settings is open meanwhile.
Finish setup is disabled. A section is missing details or the box is not ticked. Read Details still needed.
The payroll section stays "Details required". The currency is not confirmed or Finance has no base currency. Save the Payroll Defaults tab; set the base currency in Finance first if needed.
I cannot change the logo. Only the organization owner can. Ask the owner.
Existing workspace never saw this page. It already had employees when the feature started. Nothing to do.
