Recruitment

Last updated

Recruitment is SolaHR's simple applicant tracking system. You create a job opening for each vacancy, add the people who apply as candidates, and move each candidate through a fixed pipeline from Applied to Hired or Rejected.

Use it when you want one place to see every open vacancy, how many people applied, and where each applicant stands. It is used by HR staff and hiring managers who have been given Recruitment access. General staff never see it: candidate records hold personal data (name, email, phone), so Recruitment has its own permission family, separate from employee records.

Recruitment is deliberately lightweight. It does not publish job ads, receive applications by email, store CVs, schedule interviews, or create employee records. You type the openings and candidates in yourself.

Where to find it

Screen How to get there URL
Openings list Sidebar Talent → Recruitment /recruitment
One opening and its candidates Click View on the opening's row /recruitment/{opening}
  • The Talent group also holds Performance. If you can see neither of them, the whole group is hidden.
  • Old bookmarks still work: /recruitment/create, /candidates/create and /candidates/{id} take you to the openings list, and /recruitment/{id}/edit takes you to that opening's page.
  • You only see the menu item if your role has View job openings and candidates and your plan includes Recruitment. If you open the URL on a plan without it, you see Not included in your plan ("This module is not enabled for your organization.") with a Go to dashboard button. If your role doesn't allow it, you see Access denied ("You do not have permission to view this page.").

See Who can use Recruitment for the role breakdown.

Screen tour: the openings list

The page header reads Recruitment, with the subtitle "Manage openings and candidate pipelines". If you can manage recruitment, a New Opening button (with a + icon) sits at the top right. There are no summary tiles, filters, search box, export or bulk actions on this screen.

Openings are listed newest created first, 20 per page.

Column Meaning
Title The job title in bold, with the Location underneath in grey.
Department The free-text department typed on the opening, or —.
Employment Type Full Time, Part Time, Contract or Internship, shown in Arabic and English (for example "دوام كامل / Full Time").
Positions How many people you plan to hire. Shows 1 if none was stored.
Candidates How many candidates are attached to the opening, in every stage, including Rejected.
Status A coloured badge: Open (green), Closed (grey) or on hold (blue).
(row button) View opens the opening's detail page. This is the only row action.

Under the table, the pager shows "Showing 1–20 of 34", the page number ("1 / 2") and Previous / Next buttons. The pager is hidden when there are no openings.

When there are no openings yet, you see "No records found" with the line "No records match the current view."

Create a job opening

  1. Go to Talent → Recruitment.

  2. Click New Opening (top right). The New Opening window opens.

  3. Fill in the fields:

Field Required Rules / defaults Notes
Title Yes (marked *) Up to 255 characters. For example Senior Accountant.
Department No Free text, up to 100 characters. Not linked to your SolaHR departments. Type it the way you want it shown.
Location No Free text, up to 100 characters. For example Dubai – Business Bay.
Employment Type Yes Default Full Time. Options: Full Time, Part Time, Contract, Internship. Shown in Arabic and English.
Positions Yes in practice Whole number, at least 1. Default 1. Don't clear the box. Leave at least 1 in it, or the save can fail.
Status Yes Default Open. Options: Open, Closed, On Hold. Choose carefully. The screen cannot change it later.
Posted Date No Defaults to today. Shown as a tile on the opening page.
Closing Date No Any date. Not checked against Posted Date. Stored for reference only. It is not shown anywhere on the current screens and nothing closes the opening automatically.
Description No Any length. What the role involves.
Requirements No Any length. Skills, experience, licences and certificates.
  4. Click Save in the window footer.

Result: the window closes, you see "Updated successfully", and the new opening appears at the top of the list with 0 candidates.

If something is wrong: the window stays open and a red box at the top lists every problem, for example "The title field is required." or "The positions field must be at least 1.". Fix the fields and click Save again.

Good to know:

  • To close the window without saving, click ×, press Esc, or click outside it. What you typed stays in the form until you reload the page, so the next New Opening starts with your last values. Clear them before entering a different vacancy.
  • Clicking Save twice quickly does not create two openings. The second click is ignored while the first save is still running.

Screen tour: the opening page

Click View on an opening. The page shows:

  • Header: the opening title as the page title, "Department · Location" underneath (— for anything blank), a Recruitment breadcrumb back to the list, and the status badge at the top right.
  • Tiles: Candidates (how many people are attached), Positions and Posted Date (for example 1 Oct 2026, or — if blank).
  • Description and Requirements cards side by side. An empty card shows —.
  • Candidates card: the candidate table, with a small Add Candidate button at the top right of the card if you can manage recruitment.

The Employment Type and Closing Date are not shown on this page.

Candidate column Meaning
Candidate Name Name in bold, with the phone number underneath in grey.
Email column The candidate's email, or —. The column header currently shows the untranslated text common.email.
Stage For people who manage recruitment, a dropdown you can change. For read-only users, a badge.
Notes Your notes on the candidate, or —.

Candidates are listed in the order they were added. There is no search, sort, filter or row menu on the candidate table. If the opening has no candidates, the card shows "No records found".

Add a candidate

  1. Open the opening (View on its row).

  2. In the Candidates card, click Add Candidate (top right of the card). The Add Candidate window opens.

  3. Fill in the fields:

Field Required Rules / defaults Notes
Candidate Name Yes (marked *) Up to 255 characters. Full name as on the CV.
Email No Must be a valid email address, up to 255 characters. The field label currently shows common.email.
Phone No Up to 30 characters. The field label currently shows common.phone. For example +971 50 123 4567.
Stage Yes Defaults to Applied. You can start someone later in the pipeline, for example a referral straight at Interview.
Notes No Any length. CV source, salary expectation, notice period, interview feedback.
  4. Click Save.

Result: you see "Updated successfully", the window closes, the candidate appears at the bottom of the table and the Candidates tile goes up by one. The candidate always belongs to the opening you added them from.

If something is wrong: the window stays open and lists the problems at the top, for example "The name field is required." or "The email field must be a valid email address.".

Good to know: the window keeps the last candidate's details after you save. Before adding the next person, clear Candidate Name, Email, Phone and Notes, and set Stage back to Applied. Otherwise you may save a second record with the previous person's email or notes.

Move a candidate through the pipeline

  1. Open the opening.
  2. In the candidate's row, pick the new value in the Stage dropdown.

The change saves immediately. There is no confirmation window. You see "Updated successfully" and the table refreshes.

  • You can move a candidate to any stage, forwards or backwards. SolaHR doesn't enforce the order.
  • Stage changes don't send any email or notification to the candidate or to your team.
  • If the save fails (for example your access changed), you see an error window and the dropdown keeps showing the last saved stage.

Statuses and lifecycle

Opening status

Status Badge Meaning What you can do
Open Open (green) You are accepting applicants. View, add candidates, change stages.
On Hold on hold (blue) Recruitment paused, for example budget review. Same as Open. The status is a label only.
Closed Closed (grey) The vacancy is filled or cancelled. Same as Open. Closing doesn't lock the opening or its candidates.

The status is set when you create the opening. The current screens have no way to change it afterwards, and the Closing Date doesn't change it either.

Candidate stages

Stage Dropdown label Read-only badge Typical meaning
applied Applied applied CV received, not yet reviewed.
screening Screening screening Checked against the requirements, or phone screen booked.
interview Interview interview Invited to, or in, interviews.
offer Offer offer An offer has been made.
hired Hired Hired (green) Offer accepted.
rejected Rejected Rejected (red) Not progressing, at any point in the process.

Every stage allows the same actions. Hired does not create an employee, and Rejected does not hide or remove the candidate.

Who can use Recruitment

Role See openings and candidates Create openings, add candidates, change stages
Organization Owner Yes Yes
SolaHR Administrator Yes Yes
HR Operations Manager (older role) Yes Yes
HR Records Viewer (older role) and other organization members with SolaHR access No. The menu item is hidden. No
Scoped roles: HR Manager, Department Manager, Attendance Recorder, HR Viewer No. They work in the focused /operations workspace, which has no Recruitment. No
  • Anyone with access sees every opening in the organization. Openings are not limited by the departments set in Team access.
  • The server checks every request. If you try an action your role doesn't allow, you see "You do not have access to this action. Contact your workspace administrator."
  • Employees never see openings or candidates in My Portal.

Worked example 1: a quick referral

Sara Khan, HR officer at Al Noor Trading LLC, receives a referral for the open Storekeeper vacancy at Dubai Main warehouse.

  1. She opens Talent → Recruitment and clicks View on Storekeeper.
  2. She clicks Add Candidate and enters Candidate Name Yousef Rahman, email yousef.rahman@example.com, phone +971 55 234 9087, Stage Interview (referrals skip screening at Al Noor), Notes "Referred by Omar Haddad. 4 yrs warehouse, forklift licence. Expects AED 4,500/month."
  3. She clicks Save. She sees "Updated successfully", Yousef appears in the table with the Interview dropdown, and the Candidates tile goes from 3 to 4.

Worked example 2: filling two sales positions

Al Noor Trading LLC needs two sales executives for its Deira branch.

  1. Create the opening. HR opens Talent → Recruitment → New Opening and enters:

    Field Value
    Title Sales Executive
    Department Sales
    Location Dubai – Deira
    Employment Type Full Time
    Positions 2
    Status Open
    Posted Date 2026-10-01
    Closing Date 2026-10-31
Requirements UAE driving licence, 2+ years FMCG sales, Arabic and English

After Save, the list shows Sales Executive / Dubai – Deira · Sales · دوام كامل / Full Time · 2 · 0 · Open.

  2. Add applicants. HR clicks View, then Add Candidate three times, clearing the form between each: Omar Haddad (omar.haddad@example.com, +971 50 111 2233), Lina Saleh and Rami Aziz, all at Applied. The Candidates tile shows 3.

  3. Screen. After the CV review, HR sets Omar and Lina to Screening. Rami was added with the note "No UAE licence", so HR sets him to Rejected.

  4. Interview and offer. Both pass the first interview: HR sets them to Interview, then Offer after the panel on 15 Oct. Omar accepts the offer of AED 9,000/month and moves to Hired. Lina asks for time, so she stays at Offer.

  5. Close out. On 20 Oct Lina accepts and moves to Hired. The opening page now shows:

    Candidate Stage
    Omar Haddad Hired
    Lina Saleh Hired
    Rami Aziz Rejected

The Candidates tile still shows 3 and the list row still shows Open, because the status can't be changed on screen. The pipeline itself tells you both positions are filled.

  6. Onboard. HR adds Omar and Lina under People → Employees with their joining dates and salaries (see Employees), then sets up their contracts and payroll.

How it connects

Connected screen Connection
Employees None automatic. Hired doesn't create an employee. Add the new joiner yourself.
Departments and job titles None. An opening's Department is free text, not a link to your departments.
Performance Once hired and added as an employee, the person can be reviewed there (for example a probation review).
Team access Scoped roles never get Recruitment. Department scopes don't limit what Recruitment users see.
Audit Log Each create and stage change is recorded with who did it and when.
Payroll, SolaCount None. Recruitment has no financial effect.

Messages you may see

Message Meaning What to do
"Updated successfully" The opening, candidate or stage change was saved. Nothing.
Red box at the top of the window listing field errors The server rejected one or more fields. Fix them and click Save again.
Status not confirmed: "We could not confirm whether the change completed. Check the current status before submitting again." with Check current status The connection dropped or the server failed before answering. Click Check current status or reload. Look for the opening or candidate before adding it again, so you don't create a duplicate. The same save stays blocked until you reload.
Action could not be completed: "You do not have access to this action. Contact your workspace administrator." Your role can view but not manage Recruitment, or your access changed. Ask an Owner or SolaHR Administrator.
You are taken to the sign-in page Your session expired while the window was open. Sign in again and repeat the action. Text typed in the open window is not kept.
Page not found The opening doesn't exist or belongs to another organization. Go back to the list. Check the organization switcher.

Tips and common problems

Problem Cause Fix
I can't find New Opening or Add Candidate. Your role can only view Recruitment. Ask an Owner or SolaHR Administrator for manage access.
The Stage column shows a badge, not a dropdown. Same: you have view-only access. Same.
The save failed with Positions empty. Positions was cleared. Type 1 or more and save again.
The new candidate has the previous person's email. The Add Candidate window keeps the last values. Clear every field before saving the next candidate.
An opening still shows Open after we hired everyone. The status can't be changed after creation. Use the candidate stages to track progress. Contact Solavel support if the status must change.
The Department doesn't match my departments. It is free text. Type department names consistently, for example exactly as in Departments and job titles.
A candidate applied for two roles. Each candidate belongs to one opening. Add them to each opening separately.
"No records found" on the list. No openings yet, or you are in a different organization. Check the organization switcher.
Recruitment is missing from the sidebar. Your role has no Recruitment access, or your plan doesn't include it. Check your role in Team access and your plan in Solavel.
