Benefits records the benefit packages each employee receives, such as health insurance, housing, transport, education or a phone allowance, with an amount, start and end dates and an active/inactive status.
Benefits recorded here are for reference. They are not added to payroll automatically. Allowances that are paid through payroll belong on the employee's salary setup (see Payroll).
Where to find it
| Sidebar | Payroll & Compensation → Benefits |
| URL | /benefits |
| Plans | Plans that include the Benefits feature. Without it the item is hidden and the page is refused. |
| Seeing the page | Needs View employee benefits |
| Adding, editing, deleting | Needs Manage employee benefits (otherwise the Add button and row buttons are hidden) |
When to use it: whenever a package is agreed with an employee (medical cover, housing, car or phone), when it is renewed, and when it ends. Who uses it: HR staff and the Owner; other members with SolaHR access can look it up.
The benefits list
The page is titled Employee Benefits, with the subtitle "Manage employee benefit packages". If you can manage benefits, an Add button appears at the top right.
Benefits are sorted by Start Date, newest first, 20 per page, with Previous / Next under the table.
| Column | What it shows |
|---|---|
| Employee | The employee who receives the benefit. |
| Benefit | The benefit name, for example Daman Enhanced medical cover. |
| Type | The type key: health, housing, transport, education, phone or other. |
| Amount | The amount with two decimals and the currency stored on the record, or —. |
| Start Date | When the benefit starts. |
| Status | Active or Inactive. |
| (row buttons) | Edit and Delete. These are shown only to people who can manage benefits. |
If there are no benefits yet, you see "No records found".
Add a benefit
-
Go to Payroll & Compensation → Benefits.
-
Click Add (top right).
-
Fill in the fields:
Field Required Notes Employee Yes Lists active employees only, by name. The list shows the first name before you choose, but nothing is selected yet: always pick the employee, or saving fails with "The employee id field is required." Benefit Yes Name of the benefit, up to 255 characters. Type No صحي / Health Insurance, سكن / Housing, مواصلات / Transport, تعليم / Education, هاتف / Phone, أخرى / Other. As with Employee, the first option is displayed but not selected: pick a type explicitly, or the record is saved without one (shown as —). Amount No 0 or more, with up to two decimals. Use the monthly or annual value consistently across your records. There is no currency field: new records are stored in JOD (see Tips). Start Date No End Date No For example, the policy expiry date. Not checked against Start Date, so double-check it. The record does not become Inactive by itself when this date passes. Status Yes Active or Inactive. Notes No Policy number, provider, dependants covered and so on. -
Click Save.
The window closes, you see "Updated successfully", and the benefit appears in the list.
Edit a benefit
- Find the row and click Edit. The window opens with the current values.
- Change what you need. To stop a benefit without losing its history, set Status to Inactive and fill in End Date.
- Click Save.
Delete a benefit
- Click Delete on the row.
- Confirm in the window "Delete this record?", which warns "This action cannot be undone.", by clicking Delete.
The record is removed permanently. If you only want to stop the benefit, mark it Inactive instead.
Statuses
| Status | Meaning | Allowed |
|---|---|---|
| Active | The employee currently receives the benefit | Edit, Delete, set to Inactive |
| Inactive | Ended or suspended; kept for history | Edit (including back to Active), Delete |
Status only changes when someone edits the record. Nothing changes automatically on the End Date.
Worked examples
Quick example: add a phone allowance
- HR opens Payroll & Compensation → Benefits and clicks Add.
- Employee Sara Khan, Benefit Company mobile line, Type هاتف / Phone, Amount 150.00, Start Date 2026-10-01, Status Active, Notes "Monthly cap; line 050 123 4567".
- Save → "Updated successfully". The row shows Sara Khan · Company mobile line · phone · 150.00 · 1 Oct 2026 · Active.
Full example: annual medical renewal
Al Noor Trading LLC gives its sales staff medical cover and a transport allowance.
- HR clicks Add and enters: Employee Omar Haddad, Benefit Medical insurance – Enhanced plan, Type Health Insurance, Amount 6,500.00 (annual premium), Start Date 2026-01-01, End Date 2026-12-31, Status Active, Notes "Policy DHA-77812, spouse covered".
- They add a second record: Omar Haddad, Benefit Car allowance, Type Transport, Amount 1,000.00 (monthly), Start Date 2026-03-01, Status Active.
- The list now shows two Active rows for Omar: health 6,500.00 and transport 1,000.00. Nothing appears on his payslip; the car allowance is paid through his salary setup.
- In January 2027 the policy is renewed. HR clicks Edit on the 2026 policy and sets it to Inactive, then adds a new record for 2027.
How it connects
| Area | Connection |
|---|---|
| Payroll | None. Benefits are not added to payroll runs or payslips. Pay recurring cash allowances through the employee's salary setup (Payroll) or Variable pay. |
| Employees | The employee picker lists active employees. Benefits of employees who later leave stay in the list. |
| Expenses | A one-off claim that the employee pays first (for example a medical bill not covered) belongs in Expenses, not here. |
| Documents | Store the policy PDF or tenancy contract in Documents and mention its reference in Notes. |
| Audit Log | Every add, edit and delete is recorded in the Audit Log. |
Who can use Benefits
| Access | Can do |
|---|---|
| Organization Owners and SolaHR Administrators | View, add, edit and delete. |
| SolaHR manager-level access (the general HR manager role, not the scoped presets) | View, add, edit and delete. |
| Other organization members with SolaHR access | View the list only. |
| Scoped presets: HR Manager, Department Manager, Attendance Recorder, HR Viewer | No access. |
Anyone who can view Benefits sees every employee's benefits in the organization. The list is not limited to the departments assigned in Team access.

Tips and common problems
| Problem | Cause | Fix |
|---|---|---|
| Save fails with "employee id field is required" | The Employee list shows a name before you choose one | Open the list and pick the employee. |
| Type shows — after saving | Type was left on the first displayed option without choosing it | Edit the record and pick the type. |
| Amount shows JOD instead of AED | The form has no currency field and new records are stored in JOD; editing also re-saves JOD | Note the real currency in Notes and tell your SolaHR Administrator. Treat the figure as your company currency. |
| An expired policy still shows Active | Status never changes automatically | Edit it and set Inactive. |
| No Add button | Your role is view-only | Ask an Owner or SolaHR Administrator. |
- The employee isn't in the dropdown. Only active employees are listed. An existing benefit for an employee who has since left still shows in the list.
- Amounts and currency. The form has no currency field. Check the currency shown in the Amount column. If it isn't your company currency, mention the real currency in Notes and tell your SolaHR Administrator.
- Type shows a short word. The table shows the stored type (for example health), while the form shows the full label (Health Insurance).
- Error after Save. Field problems are listed at the top of the window. If you see Status not confirmed, reload the page and check whether the record was saved before you add it again.
