My Portal

Last updated

My Portal is your own self-service area inside SolaHR. If you sign in to SolaHR with a Solavel account and you are also an employee of the organization, it shows your HR records. You can request and cancel leave, fill in and submit timesheets, read your payslips, and read and acknowledge your warnings and the company policies.

It is for staff who use SolaHR anyway: HR officers, managers, administrators, and members with a SolaHR seat. Employees without a Solavel account use the Employee Portal link instead (see Portal Access). Both lead into the same approval queues.

Where to find it

  • Sidebar: Overview → My Portal.
  • URL: /my, which opens /my-profile. The sub-pages live under /self-service/… (see below).
Who sees it Condition
Menu item and pages Your organization's plan includes self-service. No HR permission is needed. Everyone signed in to SolaHR has it, including scoped roles.
Your data Only if your sign-in email matches an employee record in the organization you selected (see next section).

You only ever see your own records here. Asking for another person's leave, payslip or warning is refused.

How SolaHR finds "you"

SolaHR compares your Solavel sign-in email with the Email, Work email and personal email on employee records in the organization currently selected. The first match is your profile.

If none matches, the page shows No employee profile linked — "Your user account is not linked to an employee record in this organization. Contact your HR administrator." To fix it, HR adds your sign-in email to your employee record (see Employees). If you belong to several organizations, switch to the right one first.

Screen

  • New Leave Request card (the form).
  • My leave balances card: remaining / entitled per leave type for the current year, for example 18 / 30.
  • Request History table: Leave type, Period (start → end), Days, Status, and View. It is paginated.

Request leave

  1. Open My Portal → My Leave.

  2. Fill in New Leave Request:

    Field Required Rules Notes
Leave type Yes A leave type from your organization (Select leave type). Types come from Leave settings.
Start date Yes Valid date. —
End date Yes On or after the start date. —
Notes No Free text. Sent as the reason.
Attachment Depends on the type PDF, JPG or PNG, up to 5 MB. Required for leave types marked as needing one.
  3. Click Submit Leave Request. The Days shown afterwards are the days that will be deducted: your weekly days off (from your work schedule) and public holidays inside the dates are not counted, unless the leave type counts calendar days. See How days are counted. You see Leave request submitted for review. The form clears and the request appears in Request History as Pending.

The request goes to the normal leave approval. It shows in the Leave request type on Approvals and in Time & Attendance → Leave, and the sidebar Leave badge counts it.

Error (shown under the field) Cause
Leave end date must be on or after the start date. End before start.
This leave type requires an attachment. The type needs a file.
Employee already has a pending or approved leave request in this date range. Overlaps another request.
Insufficient leave balance. Remaining days: n. Not enough balance for this type.

View or cancel a request

  1. In Request History, click View.
  2. The page shows the type, the period, a status badge, Days, Notes, Approver, and Remaining balance.
  3. While the request is Pending or Approved, click Cancel. The dialog Cancel leave request asks Cancel this leave request?. Confirm with Cancel.
  4. You see Leave request cancelled. The status becomes Cancelled. If it had been approved, the days go back to your balance.

Rejected or already-cancelled requests can't be cancelled (Only pending or approved leave requests can be cancelled.). You can never approve your own leave, even if you are a manager (Employees cannot approve their own leave requests.).

My Timesheets

URL /self-service/timesheets.

Screen

The table columns are Period (start → end), Type (Weekly or Monthly), Status, Total (hours, for example 40.00h) and View. New Timesheet is top-right.

  6. The status becomes Submitted. The timesheet joins the timesheets queue on Approvals.

After submission the entries are read-only. If the reviewer rejects the timesheet, a card shows the rejection reason, and you can edit and submit again. Each timesheet has a CSV download (top-right) and an audit history of every event and who did it. See Timesheets.

URL /self-service/payslips.

  • Acknowledge receipt appears under the header for payslips you can acknowledge: "Confirms you received this payslip document. It is not a confirmation of payment." Afterwards the page says "Acknowledged on date".

Only payslips HR has generated for you appear here. See Payslips.

Self-service never shows other people's data, whatever your role.

Worked examples

Example 1 — request two days off

Sara Khan is a sales coordinator at Al Noor Trading LLC who signs in with sara.khan@alnoor.ae, which is also her work email in SolaHR.

  1. She opens My Portal. The header reads Hello, Sara Khan — Sales · Sales Coordinator · EMP-0021. My leave balances shows Annual Leave 18.
  2. She clicks My Leave and picks Annual Leave, Start date 16 Nov 2026 (a Monday), End date 17 Nov 2026, Notes Family visit. She clicks Submit Leave Request → Leave request submitted for review.
  3. Request History shows 16 Nov → 17 Nov · 2 · Pending. HR sees Leave request 1 on Approvals.
  4. Her manager approves it. Sara's balance now reads 16 / 30.

Example 2 — a manager's own month

Omar Haddad has the scoped Department Manager role for Retail Sales and is also an employee.

  1. On 31 October he opens My Timesheets → New Timesheet, chooses Monthly with Date within period 15 Oct 2026, and clicks Continue.
  2. He enters 22 working days of 8 regular hours and 6 overtime hours on 30 October, clicks Save, then Submit for Review → Submit for review. Tiles: Regular 176.00h, Overtime 6.00h, Total 182.00h. Status Submitted.
  3. HR rejects it with the reason 30 Oct overtime not pre-approved. Omar sees the reason card, changes 30 October overtime to 0, saves and resubmits. Total 176.00h. HR approves.
  4. On 1 November he opens My Warnings, reads a lateness warning issued to him, types Traffic accident on E11, documents provided and clicks Acknowledge.
  5. In Company Policies he opens Overtime Policy 2026, downloads the PDF and acknowledges it.
  6. When October payroll is closed, My Payslips lists October 2026 with net pay AED 14,850.00. He clicks Print to save a copy.

Although Omar can approve leave for his team, he could not approve his own leave from Leave. A request from himself would need someone else's approval.
