Reports

Last updated

Reports (page title HR Reports) brings together five ready-made reports for a date range: employees, attendance, leave, timesheets and payroll reconciliation. You can narrow them to one department or one employee, read the totals on screen, and export any report to CSV for Excel or your accountant.

Use it at month end (attendance and payroll reconciliation), before reviews (one employee's attendance and leave), and for headcount questions. HR officers, managers and owners use it.

Where to find it

  • Sidebar: Overview → Reports.
  • URL: /reports.
  • Page subtitle: Operational reporting across people, time, leave, and payroll.
Who sees it Condition
Menu item and page View HR reports and analytics (hr.reports.view), and your plan includes Reports.
Export CSV Your plan also includes data export. Without it the download is refused.

The reports cover the whole organization. They are not limited by Team access. The payroll reconciliation report shows salary totals to anyone who can open Reports, so grant View HR reports and analytics with care.

Filters (top of the page)

Filter Default Effect
From date First day of the current month Start of the range.
To date Today End of the range.
Department Department (all) Limits every report to employees in that department.
Employee Employee (all) Limits every report to one employee.

The reports reload as soon as you change a filter. There is no Apply button. The department and employee lists include every department and every employee, including inactive ones.

Report cards

Each report is a card, shown in this order:

Card title Built from
Employee report Employee records
Attendance report Attendance records dated in the range
Leave report Leave requests that overlap the range
Timesheet report Timesheets whose period overlaps the range
Payroll reconciliation report Payroll runs whose period overlaps the range

Each card has:

  • Export CSV (top-right of the card): downloads that report with the current filters, as hr-<report>-report.csv.
  • Total tiles. Their labels are the internal total names, for example late minutes.
  • A table. If there are no rows, the card shows No report rows.

The five reports

Employee report

Column Meaning
Employee # Employee number.
Name Employee name.
Department Current department.
Status Employment status (active, resigned, terminated, contract_ended).
Start date Joining date.

Totals: employees (number of rows) and active (rows with status active). Sorted by employee number.

This report ignores the date range. It lists every employee who matches the department and employee filters, past and present.

Attendance report

Column Meaning
Date Attendance date.
Employee Name.
Status For example present, late, absent, on_leave.
Late minutes Minutes late at check-in.
Early minutes Minutes left early.
Overtime minutes Overtime recorded that day.

Totals: records, late minutes, early minutes. Sorted by date. Includes every attendance record dated from From to To, including the placeholder records the daily review creates for missing punches (see Attendance and Attendance review).

Leave report

Column Meaning
Employee Name.
Type Leave type.
Start / End Leave dates.
Days Total days of the request.
Status pending, approved, rejected, cancelled.

Totals: requests (all statuses) and approved days (days of approved requests). A request is included if any part of it falls in the range, and all of its days are counted, even the ones outside the range.

Timesheet report

Column Meaning
Employee Name.
Period Timesheet period label.
Status draft, submitted, approved, rejected.
Regular hours / Overtime hours / Total hours Hours, to two decimals.

Totals: timesheets, regular hours, overtime hours. All statuses are included. To count approved hours only, filter on status in your spreadsheet.

Payroll reconciliation report

Column Meaning
Run Year and month of the payroll run (year-month).
Employee Name.
Source currency Currency the employee is paid in.
Rate Exchange rate used (1 when the currencies are the same).
Gross Gross pay.
Deductions Deductions, plus advance repayments, plus employee insurance.
Net Final net salary.
Base currency Your organization's base currency.

Totals: gross, deductions, net, employer contributions.

Every run whose period overlaps the range is included, whatever its status, including draft and cancelled runs. For a final reconciliation, run the report after the month's run is approved or paid, and check that no extra run exists for the same month (see Payroll).

Tasks

Run month-end reports

  1. Open Overview → Reports.
  2. Set From to the first day and To to the last day of the month.
  3. Leave Department and Employee empty.
  4. Read the totals, then click Export CSV on each card you need.

Look at one employee

  1. Pick the employee in the Employee filter.
  2. Every card now shows only that person. The Employee report shows their single row.

Compare departments

  1. Pick a department, note the totals, and export if you need to.
  2. Pick the next department and repeat.

Export

  1. Set the filters.
  2. Click Export CSV on the card. The file contains exactly the table on screen, with the header row first.
  3. If your plan doesn't include data export, the download is refused. Copy from the screen instead.

Worked examples

Example 1 — late arrivals this month

On 20 October 2026 the HR officer at Al Noor Trading LLC opens Reports. The range defaults to 1–20 October. She picks the Warehouse department.

The Attendance report tiles show: records 286, late minutes 412, early minutes 95. She exports the report and sorts it in Excel. Omar Haddad accounts for 160 of the late minutes, across 9 days, and she raises this with his manager.

Example 2 — October payroll reconciliation

  1. HR sets From to 1 Oct 2026 and To to 31 Oct 2026, with no other filters.
  2. Employee report: employees 48, active 46. Two people who resigned in September are still on file.
  3. Leave report: requests 21, approved days 54. Two requests run into November, and their days are counted in full.
  4. Timesheet report: timesheets 12, regular hours 2,016.00, overtime hours 37.50.
  5. Payroll reconciliation report: gross 412,300.00, deductions 18,940.00, net 393,360.00, employer contributions 0.00. One row reads 2026-10 · Sara Khan · AED · 1 · 7,000.00 · 350.00 · 6,650.00 · AED. The 350.00 is an advance repayment.
  6. HR checks that only the approved October run falls in the period. A cancelled test run would be counted too.
  7. HR clicks Export CSV on the payroll card and sends hr-payroll-report.csv to finance for posting in SolaCount.

Tips and common problems

Problem Cause Fix
Payroll totals look doubled A draft or cancelled run overlaps the range. Check Payroll Runs for the month, and cancel or delete the extra run.
Leave days add up to more than the month Requests that cross the edge of the range are counted in full. Adjust the figures in the export.
Employee report ignores the dates It lists everyone who matches the filters, by design. Filter by status or start date in the export.
Export CSV fails Your plan doesn't include data export. Upgrade, or copy from the screen.
A manager can't see Reports Scoped roles don't have the permission. Grant View HR reports and analytics if appropriate.
No report rows Nothing matches the range or filters. Widen the dates or clear the filters.
