Employee portal

Last updated

The Employee Portal is what an employee sees on their own phone. It opens from a personal link that HR sends (see Portal Access); there is no Solavel account, password or seat. With it an employee checks in and out at work, and, after unlocking a private area with a six-digit PIN, reads their payslips, requests leave, fills in timesheets, acknowledges policies and warnings, downloads documents, sees their profile, and, if they decide to leave, submits and follows a resignation.

This page describes the portal from the employee's side so HR can answer questions and train staff. The portal works in Arabic and English, in a layout made for phones: one column, large touch targets and bottom sheets for dialogs.

The portal is different from My Portal inside SolaHR (My Portal), which is for people who sign in with a Solavel account.

Where employees find it

Only by the personal link that HR copies from People → Portal Access or from the employee's profile. The link opens the portal for that one employee. A small language button at the top switches between Arabic (ع) and English (EN). The header shows the SolaHR logo, "Employee Portal", and the organization's logo and name under "YOUR ORGANIZATION".

Under the header the employee sees Welcome, their name, the organization and "Employee no. 1994".

If the phone loses its connection, an You are offline bar appears at the top.

One phone per employee

Attendance is tied to the employee's own phone so that nobody can check in for a colleague.

Situation What the employee sees What to do
First visit, no phone connected yet A box Connect your phone to your account — "One-time step: locate yourself at work, then tap Connect this phone. Next you will create your PIN." Tap Locate (allow location), then Connect this phone. The employee must be at an allowed work location. "This phone is now connected to your account." Then the PIN dialog opens.
The phone is already the connected device of another employee This phone belongs to another employee — "Attendance cannot be recorded for more than one employee from the same phone. Open your link on your own phone. If this phone is now yours, ask HR to reset it first." Use their own phone, or HR resets the old binding.
The link is registered to a different browser This link is registered to another device — "Each browser is treated as a separate secure device, even on the same phone. Connect this browser with your PIN or ask HR for help." Connect this browser with PIN (the old browser stays connected), or Request device reset.
A reset request is waiting The button reads Request pending with HR, and "After HR approves, refresh this page…" HR approves or rejects on Portal Access.
No PIN yet and no connected phone The Create PIN button is replaced by Connect phone first. Connect the phone first; a PIN cannot be created on an unconnected browser.

HR can also reset a device from the employee's profile.

Attendance (always available)

The Today's attendance card shows a status (Not checked in yet, You are checked in, Today complete), the date, Check in and Check out times, and Today's schedule (the employee's own shift, or the main work schedule).

  1. Tap Locate and allow location. The card says Location ready with the accuracy ("Accuracy ± 12 m").
  2. Tap Check in ("Start your day") or Check out ("Finish your day").
  3. A message confirms: "Check-in recorded successfully." or the reason it failed (outside the allowed locations, another device, already checked in).

If the employee has not started yet, the card says Your employment has not started yet — Attendance opens on date. Checking in again after checking out (for example after lunch) starts a new interval of the same day; the day keeps one record. An overnight shift started yesterday can be closed the next morning. See Attendance for what each message means and how the day is judged.

The private area

Below attendance, the card Your private information is locked appears, with Unlock or Create PIN:

  • Create PIN (first time): six digits, entered twice, then Continue. A banner "Use six digits known only to you."
  • Unlock: the six-digit PIN. "Protected access unlocked."
  • Too many wrong PINs lock the PIN for the time HR configured. If the private session expires while the employee is working, the PIN dialog opens again with "Your private session ended. Enter your PIN, then try again."
  • Lock (top right) locks the private area again: "Private data locked. Attendance remains available."

Once unlocked, the heading Your private space shows Unlocked and a row of tabs. HR decides which tabs exist in Portal Access → Sections employees can see. Tabs HR switched off, and tabs for features your organization's plan does not include, are not shown at all.

Tab What it does
Home Count tiles for attendance records, leave requests (with "n pending"), payslips, timesheets, policies, warnings and documents. A tile opens its tab.
Attendance Upcoming holidays (the employee's own calendar), then Attendance history — the latest 60 records, each with the weekday and date, a status chip (Present, Late, Early departure, Half day, Holiday, Leave, Absent), check-in, check-out, Worked time, late / early / overtime (or Holiday work) metrics, the check-in and check-out locations, and notes. A record with a punch on a holiday is tagged Worked on holiday.
Leave Balances ("21 days of 30"), + New request with the live day count, and the request list. See Leave. Pending requests can be withdrawn.
Payslips One card per payslip: month, payslip number, Net pay, Gross, Deductions, status; View, Download PDF, and Acknowledge (confirms receipt of the document, not payment).
Timesheets + New timesheet (weekly or monthly, any day in the period; an existing one opens instead), then per-day Regular hours and Overtime hours, Work type and Notes, Save and Save and submit. A rejected timesheet shows the Rejection reason and can be corrected and sent again.
Policies Each policy with Download and I have read this; the status shows Awaiting you or Acknowledged.
Warnings Each warning with date, case number, severity, description and action taken; Acknowledge opens a box for an optional response ("Acknowledging confirms you have read the warning, not that you agree with it.").
Documents Documents HR shared, with category, size and expiry; Download.
My Resignation Submit, follow and withdraw a resignation (see below). It sits after Documents.
Profile Read-only: name, preferred name, employee number, phone, emails, address, nationality, department, job title, manager, start date and employment status. Ask HR to change anything.

Dates are shown with Latin digits in both languages and as the calendar day HR recorded, not shifted by time zones. Money shows with the payslip's currency.

My Resignation

The tab shows every request the employee has made, newest first, and a form when they may submit.

Submit a resignation

  1. Open My Resignation → Submit a resignation.
  2. Fill in Proposed last working day (today or later), Reason (required) and an optional attachment (PDF, PNG or JPG, up to 5 MB).
  3. Tap Submit request. The toast says "Your resignation was sent. We will tell you as soon as it is reviewed."

Each request card shows Resignation request with a status chip (Under review, Manager reviewed, Returned for changes, Approved, Rejected, Withdrawn, Cancelled), the three steps Submitted, Manager review and Decision, the Proposed last day and, once approved, the Confirmed last day, the reason, the reviewer's notes, and Withdraw while it is open ("Withdraw your resignation? The request will be cancelled and will not be processed."). If a request was sent more than once, Show all submissions lists every reason.

When HR returns it for changes

The card says "Update your request and send it again using the form below." and the form title becomes Edit and resend your request, pre-filled with the previous reason and date. The employee changes what was asked for and taps Resend request. The earlier submission stays on record. See Resignations for what the reviewer sees.

An employee cannot submit while a request or departure case is open ("An active resignation or departure case already exists.").

Updates: the bell and the tab badges

When the private area is unlocked, a bell button labelled Updates sits in the header.

  • It lists the latest updates from the past 30 days: a resignation reviewed, returned, approved or rejected; a leave request approved or rejected; a timesheet approved or rejected; a new warning; a new payslip; a new document. Each line says what changed and when.
  • A red number on the bell counts the updates the employee has not seen yet; the same count appears as a small dot on the tab concerned. Opening a tab clears its badge; Mark all as read clears the bell. Tapping an update opens its tab.
  • The portal checks for updates when it opens, when the employee returns to the page, and every minute while the page is visible. Fresh updates also appear as a short banner at the top of the screen. The first time the portal is opened on a phone, updates older than three days are treated as already seen so the bell does not start with a long list.
  • "Seen" is remembered in that browser only, so the same update can still show as new on another phone.

Device notifications

At the bottom of the bell panel the button Turn on device notifications asks the browser for permission. When allowed, a notification with the organization's name appears for a new update, but only while the portal is open in a browser tab that is in the background. This is not true background push: if the portal tab is closed, nothing is delivered until the employee opens it again. If notifications are blocked in the browser, the panel says "Device notifications are blocked in your browser settings." and the employee must allow them in the browser's site settings.

Messages after a failed save

Every save that fails shows a clear message at the top of the screen, not only inside the form: a wrong date range, a missing attachment, an expired private session ("Your private session ended. Enter your PIN, then try again."), too many attempts ("Too many attempts. Wait a minute, then try again."), an expired page ("This page expired. Refresh it, then try again."). If the server cannot confirm whether a save happened, the portal tells the employee to check the current state before sending again, so a double submission is avoided.

Who can do what

Role Access
Employee Their own portal only. They see and change only their own data.
Owner, SolaHR Administrator Prepare links, set the organization switches and visible tabs, reset PINs and devices on Portal Access.
Manager / HR Review what employees submit in the matching admin page: Leave, Timesheets, Resignations.

Worked example 1: a new starter on day one

Layla Mansour joins Al Noor Trading LLC on 1 November 2026. HR sends her link on WhatsApp.

  1. At the Dubai Main Office she opens the link. The card shows Not checked in yet and the box Connect your phone to your account.
  2. She taps Locate (accuracy ± 18 m), then Connect this phone: "This phone is now connected to your account." The PIN dialog opens; she enters 482916 twice and taps Continue: "Protected access unlocked."
  3. She taps Check in: "Check-in recorded successfully." The card reads You are checked in with 08:47.
  4. In Leave she sees her balances, and in Documents the offer letter HR shared. The bell shows a dot on Documents; opening the tab clears it.
  5. She taps Turn on device notifications and allows it, so a new payslip raises a banner on her phone while the portal is open in the background.

Worked example 2: a resignation, a return and an approval

Khalid Nasser (Driver) opens My Resignation on 2 November 2026 and submits "Personal reasons" with proposed last day 15 November.

  1. The card shows Under review, step 1 done. The same afternoon the bell shows "Your resignation was returned for changes" with a badge on My Resignation.
  2. He opens the tab. The card says Returned for changes, shows the reviewer's note "Please give the specific reason and attach your signed letter.", and the form Edit and resend your request is pre-filled.
  3. He changes the day to 20 December, writes a fuller reason, attaches signed-resignation.pdf and taps Resend request. A toast confirms. The card shows Show all submissions (2).
  4. Two days later a device notification (portal open in a background tab) says "Your resignation was approved". The card shows Approved, Confirmed last day 20 Dec 2026, all three steps done. He keeps working and checking in until 20 December; his portal link stops working after that day ends.

Tips and common problems

Problem Cause Fix
"Connect phone first" instead of the PIN button No connected phone on this browser. Tap Locate and Connect this phone at a work location.
"Connect your phone while you are at an allowed work location." The employee is not inside an allowed location or is not allowed there. Go to the site; HR checks Attendance locations.
The bell does not show new updates. The page is closed, offline, or the private area is locked. Open the portal and unlock; updates load on open.
Device notification never arrives. The portal tab is closed, or notifications are blocked. Keep the portal open in a tab and allow notifications in the browser.
A tab shows an error instead of data. HR switched that section off, or the plan does not include it. Ask HR.
The resignation form is missing. A request is already open. Follow the existing card, withdraw it, or wait for the decision.
