The Team access page shows everyone in your organization who can open SolaStock, with their SolaStock role, the warehouses they work in and any custom role. Use it to assign warehouses to scoped members and to give someone a custom role.
What a member can do (their role) is chosen in the Solavel Portal when they are invited. Which warehouses they do it in is chosen here. The page says: "The role (what a member can do) is chosen in Solavel when inviting. Which warehouses they work in is chosen here."
Where to find it
- Sidebar: Admin → Team access — URL
/inventory/team-access. - Breadcrumb: Team access. An information note at the top repeats the rule above.
- From the Portal: on Team, the SolaStock chip of a member has a small arrow that opens this page with that member's panel already open (when you are allowed to manage them).
Who can open it: anyone with Manage inventory settings — the organization owner, a SolaStock Administrator, or a custom role that includes it. Others see Access denied.
The member list
Use Search members to filter by name or email. The list shows up to 200 members ("Showing the first 200 members.").
| Column | What it shows |
|---|---|
| Member | Name and email; your own row is tagged You. |
| SolaStock role | Organization owner, SolaStock Administrator, Inventory Manager, Warehouse Manager, Warehouse Operator, Inventory Viewer, legacy roles (Stock Manager (legacy), Warehouse User (legacy)), or an organization role such as Member (organization role). No role if none is set. |
| Warehouses | All warehouses for owners and administrators; otherwise the assigned warehouse names. No warehouses assigned — they see nothing (warning) if none. +n outside your warehouses if some assigned warehouses are outside your own scope. |
| Custom role | The custom role name, marked (inactive) if that role was deactivated; — if none. |
| (action) | Full access badge for owners and administrators; Edit access for members you can manage; a lock icon ("You cannot change this member's access.") for members you can't. |
Only people Central admits to SolaStock are listed. If nobody has access: "No members of this organization have SolaStock access yet."
The SolaStock Administrator
SolaStock Administrator is a SolaStock role chosen in the Portal (Team → invite or edit → SolaStock). Inside SolaStock it carries the same authority as the organization owner:
- every SolaStock permission, including settings, the SolaCount connection, exports and scheduled reports,
- every warehouse, without assignments,
- managing other members' warehouses and custom roles on this page.
It grants nothing outside SolaStock: no billing, no organization member management, no other apps. Owners and administrators show Full access here and cannot be edited from inside SolaStock — change their role in the Portal. A leftover custom role never narrows an administrator.
What each SolaStock role can do
Every member except the owner and SolaStock Administrator works only in the warehouses assigned here. Their role decides what they can do there. The default permission sets:
| Role (as shown) | Permissions |
|---|---|
| Organization owner, SolaStock Administrator | Everything, every warehouse. |
| Inventory Manager | View dashboard, items, warehouses, stock, sales; receive approved purchase orders; transfer stock; reserve, pick, pack and ship; manage zones and bins; view the stock ledger and reports; create and edit purchase orders; internal consumption: view, create, approve, post and return. No export, no adjustments, no traceability. |
| Warehouse Manager | As Warehouse Operator, plus manage zones and bins and approve, post and return internal consumption. |
| Warehouse Operator | View dashboard, items, warehouses, stock, sales; receive approved purchase orders; transfer stock; reserve, pick, pack and ship; view internal consumption and create consumption issues (someone with post permission posts them). |
| Inventory Viewer | View dashboard, items, warehouses, stock, sales and internal consumption only. |
| Manager / Member (organization role) with no SolaStock role | The organization-wide Inventory Manager set: almost everything (items, adjustments, opening stock, purchasing, sales, traceability incl. recalls and overrides, reports with export) except settings and connection management. Still limited to assigned warehouses. |
| Accountant (organization role) | View dashboard, items, stock, ledger, reports, settings; view the SolaCount connection and review accounting decisions. |
| Viewer (organization role), Warehouse User (legacy) | Read-only, including traceability. |
| Stock Manager (legacy) | Same as Manager/Member above. |
None of these sets includes Override internal-consumption expense account, Approve and cancel purchase orders (needed to approve a Receiving Request), Create & post sales returns (needed for a Supplier Return) or Create / post / reverse stock adjustments (needed for Landed Costs); the owner, SolaStock Administrators and, for most of them, organization Managers and Members have them. Add them to a custom role when a scoped member needs them. Which warehouses a member is assigned to also decides which receiving, dispatch and cash-dispatch notifications that member receives.
A custom role replaces the role's set completely inside SolaStock.
Tasks summary
| Task | Steps | Result |
|---|---|---|
| Find a member | Type in Search members (name or email). | List filters as you type. |
| Assign warehouses | Edit access → tick warehouses → Save warehouses | "Warehouses saved" |
| Remove all warehouses | Edit access → untick all → Save warehouses | Member sees nothing; warning badge shown. |
| Give a custom role | Edit access → Custom role → choose → Save custom role | "Custom role saved" |
| Remove a custom role | Choose None (use the invited role) → Save custom role | "Custom role removed" |
| Change what someone can do | Change their role in the Portal (Team) | Takes effect on their next page load. |
Save custom role is disabled until you pick a different value. A deactivated role still assigned to a member appears in the list as name (inactive). Close the panel with the × or by clicking outside it.
Assign warehouses to a member
- Find the member and click Edit access (right of the row). A panel opens with their name, email and role.
- Under Warehouses, use Search warehouses if you have many, and tick each warehouse they work in. The count shows ":count selected".
- Click Save warehouses. You see "Warehouses saved".
Their access changes immediately: they see only stock, documents, reports, lots and serials of those warehouses.
- If you untick everything, a warning reminds you "No warehouses assigned — they see nothing".
- You can only assign warehouses you can see yourself. If you have none: "There are no warehouses you can assign yet."
- You can only edit members whose current warehouses are all inside your own scope.
Scoped receivers
Warehouse Operator (and any custom role without Create / post / reverse stock adjustments) is a scoped receiver. In their assigned warehouses they can receive goods only against an approved (or partially received) purchase order for that same warehouse, and the unit costs always come from the purchase order — they cannot change valuation. Trying to receive otherwise shows "Receive goods from an approved purchase order for an assigned warehouse." SolaStock guides them to the approved purchase orders they can receive. See Purchasing.
Transfers by scoped members need both warehouses assigned.
Give a member a custom role
- Create the role first in Settings → Custom Roles (see Settings).
- On Team access, click Edit access on the member.
- Under Custom role ("Optional. A custom role replaces the invited role's permissions inside SolaStock."), choose the role, or None (use the invited role) to remove it.
- Click Save custom role. You see "Custom role saved" or "Custom role removed".
Roles that include permissions you don't hold yourself appear greyed out — you cannot hand out more than you have.
Export permission
Exporting reports (CSV, Excel, PDF) and exported movement lists is a separate permission, Export inventory reports (inventory.export_reports). Viewing a report does not include exporting it.
| Who | Can export |
|---|---|
| Owner, SolaStock Administrator | Yes |
| Organization Manager / Member without a SolaStock role | Yes |
| Inventory Manager, Warehouse Manager, Warehouse Operator, Inventory Viewer | No |
| Custom role | Only if inventory.export_reports is ticked |
To let a scoped manager export: create a custom role from the Inventory Manager preset, tick inventory.export_reports, and assign it here. Their exports still only contain their assigned warehouses.
Messages
| Message | Meaning |
|---|---|
| "Could not save. You may not have access to change this member." | You can't manage this member (for example they hold warehouses outside your scope). |
| "That member is not in this list, or you cannot manage their access." | A Portal link pointed to someone you can't manage or who has no SolaStock access. |
| "Team access could not be loaded." | Loading failed; reload the page. |
Worked example
Al Noor Trading LLC. In the Portal, Mariam (owner) gives Omar Haddad SolaStock Administrator, Khalid Warehouse Manager and Sara Warehouse Operator. Omar opens Admin → Team access:
| Member | SolaStock role | Warehouses | Custom role |
|---|---|---|---|
| Mariam | Organization owner | All warehouses | — (Full access) |
| Omar Haddad | SolaStock Administrator | All warehouses | — (Full access) |
| Khalid | Warehouse Manager | No warehouses assigned — they see nothing | — |
| Sara Ahmed | Warehouse Operator | No warehouses assigned — they see nothing | — |
He clicks Edit access on Khalid, ticks Dubai Main, Save warehouses; then on Sara, ticks Jebel Ali, Save warehouses. Khalid also needs report exports, so Omar assigns him the Warehouse Supervisor custom role (Warehouse Manager + export). Sara can now receive purchase order PO-0042 for Jebel Ali at the ordered cost, but cannot see Dubai Main.
Second example: a new warehouse
Al Noor opens Sharjah DC. Omar creates it under Catalog → Warehouses. Nobody but Mariam and Omar sees it yet. On Team access he edits Khalid, ticks Dubai Main and Sharjah DC ("2 selected"), Save warehouses. Khalid can now transfer stock between the two (both are his), view their reports, and receive Sharjah purchase orders. Sara, still Jebel Ali only, cannot see Sharjah DC, and a transfer from Jebel Ali to Sharjah DC is refused for her because she does not hold both warehouses.
Tips and common problems
- A new member sees an empty SolaStock. Assign at least one warehouse.
- Edit access is missing for someone. They are the owner or an administrator (Full access), it's you, or they hold warehouses outside your scope.
- I created a warehouse and nobody sees it. New warehouses are not assigned automatically; add them to each member.
- A member can't schedule reports even with export. Only the owner and SolaStock Administrator can.
- Role names here differ from the Portal. Organization roles without a SolaStock role are shown with "(organization role)".
