Picking

Last updated

A pick list tells warehouse staff which reserved stock to collect from the shelves for a sales order. You record how much was actually picked, then mark the list picked. The page says: "Pick lists are generated from reserved sales orders. Picking stages stock; the stock OUT happens at shipment."

Picking is optional. Stock does not move when you pick; on-hand and reserved quantities stay the same until a shipment posts. Use picking when you want a record of who gathered what before packing and shipping.

Who uses it: warehouse operators and managers in the order's warehouse.

Create a pick list

  1. Open a sales order with status Reserved or Partially reserved (Sales Orders).
  2. Click Create pick list. You see "Pick list created." and the new list opens with status Draft.

Only lines with reserved quantity are copied. Serial-tracked lines get one row per reserved serial with Reserved 1.

Message Cause
"Serial n already belongs to an active pick list." That serial is already on another open pick list.
"You are not assigned to this warehouse." The order's warehouse is outside your assignments.
An error on a second Create pick list for the same order The number PICK-<order number> is already used. Open the existing pick list from Picking instead.

Record picks

  1. Open the pick list.
  2. Type the quantity actually collected in Picked for each line.
  3. Click Save picks. You see "Picks saved." The first save moves the list from Draft to Picking.

You cannot pick more than reserved: "Cannot pick 60 for line 12: only 50 reserved." On other failures you see "The picks could not be saved."

Mark picked

  1. Save picks first. Mark picked uses the saved quantities, not unsaved figures in the boxes.
  2. Click Mark picked. The dialog Mark picked says: "This completes the current fulfillment step. Review the recorded quantities before continuing." Confirm with Mark picked.
  3. You see "Pick list marked picked." The list is locked.

What happens:

  • Each sales order line's Picked quantity is set from this list.
  • The order becomes Picked when every line's picked quantity reaches its ordered quantity, otherwise Partially picked.
  • When SolaStock is connected to SolaCount, a Pick list completed event is recorded (no journal). Missing SolaCount matches block the step with a mapping review message.

If it fails you see "The pick list could not be marked picked." with the reason.

Create a pack

On a Picked list, click Create pack (needs Create packs & record packing). You see "Pack created." and the pack opens. See Packing.

Worked examples

Example 1: pick a whole order

SO-000031 for Gulf Star Supermarkets LLC is Reserved: 50 cartons of Water 500ml x24 at Dubai Main.

  1. Omar Haddad clicks Create pick list → PICK-SO-000031, Draft, one line Reserved 50.
  2. He collects 50 cartons from bin A-03, enters Picked 50, Save picks → Picking.
  3. Mark picked → confirm → "Pick list marked picked." The order is Picked, Progress "Picked 50 / 50". Dubai Main still shows 50 cartons reserved on hand.

Example 2: short pick and serials

SO-000032 has 120 cartons of water and 2 scanners (serials BS200-0091, BS200-0092), all reserved.

  1. Create pick list → three lines: water Reserved 120; scanner Serial #91 Reserved 1; scanner Serial #92 Reserved 1.
  2. Omar finds 6 cartons damaged on the shelf. He enters water 114, scanners 1 and 1, and clicks Save picks.
  3. Mark picked. The order is Partially picked (water 114 of 120). He records the 6 damaged cartons as an adjustment and continues to packing with what was picked.
