Dashboard

Last updated

The Dashboard is the first screen you see when you open SolaStock. It gives you a live summary of your inventory: what your stock is worth, how many items are low or out, which purchasing, fulfillment and stock documents are waiting for someone, the state of the SolaCount connection, and the most recent stock movements.

Use it at the start of each shift to see what needs attention, and as a jumping-off point: almost every number on the page is a link to the screen where you act on it. The Dashboard itself never changes stock; it only reads your balances, documents and ledger.

Everyone with SolaStock access can open it. What you see is limited to the warehouses you work in (see Permissions).

Where to find it

  • Sidebar: Dashboard. It is the first link at the top of the sidebar, above the collapsible groups (Operations, Catalog, Stock, and so on).
  • URL: https://solavel.com/inventory/dashboard. Opening https://solavel.com/inventory/ also takes you here.
  • Breadcrumb: Dashboard.
Who Sees the Dashboard
Organization owner, SolaStock Administrator Yes, for every warehouse.
Inventory Manager, Warehouse Manager, Warehouse Operator, Inventory Viewer Yes, limited to the warehouses assigned to them on Team access.
Organization Manager, Member, Viewer or Accountant with SolaStock access Yes, limited to their assigned warehouses.

The permission behind it is View the inventory dashboard, which every SolaStock role includes.

Screen tour

From top to bottom the page shows:

  1. Header — the title Dashboard and, on the right:
    • Updated date and time — when the figures were calculated.
    • Refresh — recalculates the figures now. While it runs the button reads Refreshing… and is disabled. Figures also refresh on their own when you come back to the page after about 30 seconds.
    • Customize — opens the layout editor (see Customize the layout).
  2. KPIs — four large tiles.
  3. Needs attention — exception alerts (only when there is something to show).
  4. Operations — three panels of document counters: Purchasing, Fulfillment, Stock operations.
  5. SolaCount — the connection card (only if your role can view the SolaCount connection).
  6. Activity — Top moving items and Recent movements.

You can hide or reorder sections 2–6 per user.

KPI tiles

Each tile is a link.

Tile Big number Small line Opens
Inventory value Total value of stock on hand at cost, for inventory items only, across your warehouses. On-hand at cost Reports
Active SKUs Number of active items (all item types: inventory, non-inventory and service). :count total — all items including inactive ones Items
Low stock Number of stock rows that have more than 0 and at most 5 units available (on hand minus reserved). Shown in amber when above zero. Below reorder point Reports
Out of stock Number of stock rows with 0 or fewer units available. Shown in red when above zero. Needs restocking Reports

Read these tiles carefully:

  • Low stock and Out of stock count stock rows, not items. A stock row is one item in one warehouse (and one bin, lot or serial when those are used). An item that is out in two warehouses counts as 2.
  • The Low stock tile uses a fixed threshold of 5 available units, whatever the item's reorder point. The per-item, per-warehouse reorder point is used by the Needs attention alerts below and by the Low Stock report in Reports.
  • A row whose quantity has gone down to 0 stays in the Out of stock count until stock is received again.
  • Inventory value is shown with a $ sign. The number is the sum of your stock values as entered in SolaStock (for a UAE business entering costs in AED, the number is AED), not a dollar conversion.

Needs attention

This panel appears only when at least one alert exists. It has two parts.

Alert banners (top). Each banner shows a bold title and a message, and up to 10 are listed, newest first:

Title When it appears Example message
Low stock An item's available quantity in a warehouse is at or below its reorder point (the warehouse rule from Settings → Reorder Planning, otherwise the item's own Reorder point). IP15P-256 iPhone 15 Pro has 8.0000 available in Dubai Main; reorder point 10.0000.
Out of stock Same check, and the available quantity is 0 or less. IP15P-256 iPhone 15 Pro has 0.0000 available in Jebel Ali; reorder point 10.0000.
Lot expiring soon A lot with stock on hand expires within the next 30 days. Lot LOT-2609 for SNS-VITC expires on 2026-10-20 with 120.0000 on hand in Dubai Main.
Expired stock on hand A lot with stock on hand is past its expiry date.

Items without a reorder point never raise a low-stock banner.

An open banner has an Acknowledge button. Clicking it marks the alert as seen ("Alert acknowledged."); the banner stays listed but without the button. Only people who can manage inventory settings (owner, SolaStock Administrator, or a custom role with Manage inventory settings) can acknowledge; for anyone else the click fails with "Could not acknowledge the alert." or an access message.

How banners are kept up to date:

  • Banners are recalculated whenever the Dashboard is loaded by someone whose role can receive goods (owner, SolaStock Administrator, Inventory Manager, Warehouse Manager, Warehouse Operator, and organization Managers/Members). For other viewers the existing banners are shown as they are.
  • When the condition clears (stock is received, or the lot is used up), the banner disappears on the next recalculation.
  • If the condition is still true at the next recalculation, an acknowledged banner becomes open again and shows Acknowledge again. Acknowledging does not silence an alert permanently; fixing the stock does.

Alert chips (bottom). Coloured chips appear only for counts above zero. Each chip is a link:

Chip Colour Opens
:count out of stock Red Reports
:count low on stock Amber Reports
:count dead-stock items Amber Reports
:count active recalls Red Recalls
:count recalled lots Red Lots / Batches, filtered to recalled lots
:count expired lots Amber Lots / Batches, filtered to expired lots
:count expiring within 30 days Amber Lots / Batches, filtered to expiring lots
:count quarantined lots Amber Lots / Batches, filtered to quarantined lots
  • Out of stock and low on stock use the same counts as the KPI tiles.
  • Dead-stock items counts stock rows that still hold stock but whose item has had no outbound movement in the last 90 days.
  • Expiring within 30 days actually uses the Expiry warning days value in Settings → Inventory Policy, so if you set 14 days the chip counts lots expiring in the next 14 days even though the text says 30.
  • Lots that are fully consumed are not counted as expired or expiring.

SolaCount card

Shown only if your role can view the SolaCount connection (owner, SolaStock Administrator, organization Managers/Members and Accountants). While it loads you see a grey placeholder (Checking connection status).

The card shows SolaCount, a status badge, one line of explanation and, depending on the state, buttons:

Badge Line under it Buttons you may see

Activity

Panel What it shows Empty state
Top moving items (30 days) The 5 items with the highest outbound quantity in the last 30 days. Columns: SKU, Item, Quantity out. No movement yet
Recent movements The last 10 stock ledger lines: ▲ for stock in, ▼ for stock out, then item name, quantity @ unit cost, the source document (for example Opening stock OS-000001) and the movement date and time. No recent movements

Customize the layout

Each person can choose which dashboard sections they see and in what order. Your layout does not change anyone else's.

  1. Click Customize (top-right). The Dashboard layout panel opens above the sections.
  2. The table has three columns: Visible, Section, Order. The sections are KPIs, Exception alerts, Operations, SolaCount sync and Activity.
  3. Untick Visible to hide a section, tick it to show it.
  4. Use Up and Down to move a section.
  5. Click Save layout. You see "Dashboard layout saved." and the panel closes. If saving fails you see "Could not save the dashboard layout." and the panel stays open.

To close the panel without saving, click Customize again; the page keeps your unsaved arrangement until you reload. Hiding SolaCount sync has no effect for people who cannot see the card anyway.

Refresh the figures

  • Click Refresh in the header. The figures and alerts are recalculated and Updated shows the new time.
  • If the page shows zeros for a brand-new workspace, that is real: the Dashboard never shows sample numbers for a live organization.

Worked examples

Example 1 — Morning check (quick)

Sara Khan, Warehouse Operator at Al Noor Trading LLC, is assigned the Jebel Ali warehouse. She opens the Dashboard at 8:00:

  • Inventory value $184,320.50 (her costs are in AED, so this is AED 184,320.50 of stock in Jebel Ali), Active SKUs 312 (318 total), Low stock 4, Out of stock 1.
  • Needs attention shows a red chip 1 out of stock and an amber chip 4 low on stock.
  • Fulfillment: Awaiting pick 3 (red), Awaiting pack 0, Awaiting shipment 1 (red).

She clicks Awaiting pick, which opens Picking, and starts on the three reserved orders.

Example 2 — From alert to restock (full)

Omar Haddad, SolaStock Administrator, manages all warehouses. Item iPhone 15 Pro 256 GB (IP15P-256) has Reorder point 10 on the item, and a warehouse reorder rule of 15 for Dubai Main in Settings → Reorder Planning.

  1. Dubai Main holds 20 units; a sales order reserves 7. Available is 13, which is at or below the warehouse rule (15).
  2. Omar opens the Dashboard. A Low stock banner reads IP15P-256 iPhone 15 Pro 256 GB has 13.0000 available in Dubai Main; reorder point 15.0000. The Low stock tile does not count this row, because 13 is more than the fixed threshold of 5.
  3. He clicks Acknowledge: "Alert acknowledged." The button disappears.
  4. He raises a purchase order for 40 units. Pending POs goes from 2 to 3.
  5. Next morning Khalid (Warehouse Manager) opens the Dashboard. The alert is still true, so the banner is open again with Acknowledge.
  6. The goods arrive; Khalid posts the goods receipt for 40. Pending GRNs drops by one, Movements today rises by one, and Recent movements shows ▲ iPhone 15 Pro 256 GB · 40.0000 @ 3900.0000 · Goods receipt GRN-000014.
  7. Available is now 53. On the next Dashboard load the banner disappears and the Inventory value tile rises by AED 156,000 (40 × 3,900).

Tips & common problems

Problem Cause Fix
Everything shows 0. Your workspace has no stock yet, or you are a scoped member with no warehouses assigned. Post Opening Stock; ask an administrator to assign warehouses on Team access.
Low stock tile says 0 but a Low stock banner is showing. The tile uses a fixed threshold of 5 available units; banners use the reorder point. Treat banners and the Low Stock report as the reorder signal.
A banner I acknowledged came back. The stock is still below the reorder point, so the next recalculation re-opened it. Restock or adjust the reorder point.
Acknowledge does nothing / shows an error. Your role cannot manage inventory settings. Ask the owner or a SolaStock Administrator.
No SolaCount card. Your role cannot view the connection, or you hid SolaCount sync in Customize. Check Customize; otherwise this is expected for warehouse roles.
A teammate sees different numbers. Figures are limited to each person's assigned warehouses. Compare the warehouses on Team access.
The value shows $. The tile always uses a $ sign. Read it in your own costing currency (AED for UAE businesses).
Movements today is 0 after I posted opening stock. Movements are counted by their movement date; opening stock is dated on its Opening date. Check Stock Ledger with a date filter.
