Warehouse Notifications

Last updated

Warehouse notifications tell the people who receive and dispatch goods that something needs their hands: a purchase is ready to be received, a sale is ready to be dispatched, a delivery is partly done, or a request was cancelled. They appear under the bell in the top bar of SolaStock and also in the Solavel notification centre, so nobody has to keep refreshing the request lists.

An alert never changes stock. It is a pointer: opening it takes you to the exact page where the work is done (Receiving Requests, Fulfillment Requests or Cash Sale Dispatch).

Typical users: warehouse operators and managers; purchasing approvers.

Where to find it

Place How
Bell icon In the top bar, next to the language and theme buttons. Its accessible name is Warehouse notifications.
Panel Click the bell: a panel titled Warehouse notifications opens under it.

The bell is shown to members who hold Receive approved purchase orders without changing valuation (Owner, SolaStock Administrator, Inventory Manager, Warehouse Manager, Warehouse Operator, organization Managers and Members). Members without it do not see the bell.

The bell and the panel

  • A small number on the bell shows how many alerts you have not opened (it reads 99+ above 99).
  • The list loads when the page opens, every 60 seconds while the browser tab is visible, and each time you open the bell. Switching organization resets it, so you never see another organization's alerts.
  • The panel lists alerts newest first. Each shows a title, then the body: the first line names the organization, the bill or invoice and the request number (for example Al Noor Trading LLC · BILL-2610-0457 · RR-14), the second line says what to do.
  • Click an alert: SolaStock marks it read and opens its page. It only ever goes to the three request pages above; any other address is refused.
  • Escape or a click outside closes the panel and returns focus to the bell. The panel is kept inside the screen, on phones and in right-to-left languages too.
  • Empty: No notifications. Failure: "Notifications could not be loaded. Try again." with Retry.

Language

Titles and texts follow your language. The same alert reads in English when SolaStock is in English and in Arabic when it is in Arabic; names, bill numbers and request numbers are never translated. If you change the language with EN / عربي the panel reloads in the new language.

One alert per change

SolaStock sends one alert for each distinct state of a request. A request that is synchronized again with the same quantities, a page refresh, or an automatic retry does not create a second alert. A new alert is created only when the situation really changes (for example from "ready" to "partially received"). Alerts are also withdrawn or refreshed when the setup changes (a warehouse is assigned or removed) or when a credit changes the undelivered quantity.

Who receives them

Only members who are allowed to act on that request's warehouse receive the alert, and the permission is checked again at the moment you open it. If your receiving or warehouse access was removed after the alert was sent, opening it does not show the request. A request with no warehouse yet is announced to the people who can approve it and choose a warehouse.

The alerts

Purchases (request numbers start with RR-):

Title When What to do
Purchase awaiting warehouse review A bill was sent and is waiting for approval. An approver opens the request, assigns a warehouse and approves. Open RR-n and confirm only goods physically received.
Purchase ready for receiving The request is approved and has a warehouse. Receive the goods that arrive.
Purchase partially received Some quantities were received. Review received and remaining quantities.
Purchase fully received Everything requested was received. Nothing.
Receiving request cancelled The accountant cancelled it. Previously recorded receipts are preserved.
Warehouse setup needed The request is visible but no authorized warehouse is configured. Ask an administrator to create a warehouse or assign you to one.

Sales (request numbers start with FR-, cash sales with CS-):

Title When What to do
Sale awaiting warehouse review An invoice (or cash sale) was sent and needs a warehouse. Approve the warehouse.
Sale ready for dispatch Approved with a warehouse. Prepare and dispatch the goods.
Sale partially dispatched Some quantities left. Review dispatched and remaining quantities.
Sale fully dispatched Everything left. Nothing.
Fulfillment request cancelled The invoice delivery was cancelled. Shipments already posted are preserved.
Fulfillment finished Everything is either dispatched or closed by a credit. Review the dispatched quantities and the undelivered quantities closed by credit.
Warehouse setup needed No authorized warehouse. As above.

How an alert gets to you

  1. A document changes in SolaCount (a bill is sent, an invoice is approved, a cash sale is cancelled) or in SolaStock (goods are received or dispatched).
  2. SolaStock queues one alert request for that change in its own durable queue. Queueing is separate from the physical work: if the alert cannot be created for any reason, the receipt, shipment or dispatch you just did still succeeds; the alert is simply retried.
  3. The alert request asks the platform to create the notification for every eligible member. Delivery is retried with growing pauses (starting at 15 seconds, up to 30 minutes between attempts) for as many as 40 attempts. If it still fails, it is flagged for an administrator to look at and is no longer retried automatically; the request itself is unaffected and you can always open it from the request list.
  4. The platform creates one notification per distinct state and shows it in the bell and in the Solavel notification centre. Each notification links back to the page that does the work.

Reading and handling alerts

What you do Result
Open the panel The list is refreshed; unread alerts are still counted until you click them.
Click an alert It is marked read, the counter drops by one, and you land on the request. If opening fails (for example you have lost access) the panel shows the load-error message instead of leaving the page.
Leave the panel open The list refreshes every minute while the browser tab is visible.
Change organization The bell empties and reloads for the new organization.
Press Escape The panel closes and the bell regains focus.
Use a screen reader The bell is announced as Warehouse notifications and tells whether the panel is expanded.

An alert is not an approval and not an instruction to post: it only says where to look. Quantities and statuses on the request page are always the truth, not the alert text.

Other alerts for integration administrators

When a customer, supplier or catalog record cannot be synchronized with SolaCount and needs a person, integration administrators and document-incident administrators are also notified. Those alerts appear in the Solavel notification centre; the work is done on the SolaCount pages, for example Catalog Synchronization.

How it connects

  • Receiving requests / fulfillment requests / cash dispatch: each alert opens one of them. Alerts never carry your data outside your organization.
  • Team access: the warehouses you are assigned to decide which alerts you get; see Team access.
  • SolaCount: alerts are produced when the accountant's documents change; see SolaCount.

Worked example 1: a delivery in two parts

Nadia sends bill BILL-2610-0457 (500 cartons) from SolaCount. Omar sees Purchase awaiting warehouse review with Al Noor Trading LLC · BILL-2610-0457 · RR-14, opens it, picks Dubai Main and approves. Sara, who works at Dubai Main, now gets Purchase ready for receiving (bell shows 1). She clicks it and lands on RR-14. After the first truck (300 cartons) she and Khalid both get Purchase partially received. After the second truck, Purchase fully received. Each state produced exactly one alert, even though SolaCount synchronized the bill several times.

Worked example: a cancellation

Nadia cancels bill BILL-2610-0460 in SolaCount before anything was received. Omar (an approver) gets Receiving request cancelled with the line RR-16 is cancelled. Previously recorded receipts are preserved. The request moves to the Cancelled tab. Sara, who is not an approver and whose assigned warehouse never had the request approved, gets nothing: only people who can act on a request are told about it. If goods had been received before the cancellation, the receipts stay posted and visible from the request.

Worked example 2: Arabic and English

Mariam works in Arabic and Hamdan in English. When FR-21 is approved, Mariam's bell shows المبيعات جاهزة للإرسال and Hamdan's shows Sale ready for dispatch. Both open the same request. The invoice number INV-2026-0318 and FR-21 look identical in both languages.

Tips and common problems

Problem Cause Fix
I do not see the bell. You lack the receiving permission. Ask an administrator; use the request lists directly.
The bell shows a number but the panel is empty. The list is reloading, or an alert was withdrawn after a setup change. Close and reopen the bell.
Clicking an alert shows The receiving request could not be opened. Check your access and try again. Your warehouse access was removed after the alert. Ask for the warehouse on Team access.
I get no alerts for a warehouse. You are not assigned to it. Ask an administrator.
"Notifications could not be loaded. Try again." A temporary connection problem. Click Retry.
