A financial supplier credit lowers what you owe a supplier for stock you bought, without sending any goods back. Use it when the supplier agrees a price reduction after invoicing: a volume rebate, a pricing mistake, a damaged-goods allowance you keep the goods for. It creates a draft debit note tied to the exact bill line, reduces Accounts Payable and the cost of the goods, and never moves stock.
This page is only for organizations connected to SolaStock whose bill was posted with the invoice-first flow described in Receiving goods on supplier bills. For ordinary bills (services, non-stock items, or SolaCount-only inventory) create a normal debit note instead. For goods you physically return, record the return in SolaStock; SolaCount proposes the matching draft debit note.
Where to find it
- Open a posted bill that has stock lines: Purchases → AP (Purchases) → Documents → Bills → the bill. The toolbar shows Financial supplier credit (URL
/ap/bills/{id}/financial-credit). - The button appears only when:
- the bill is posted and still has an active billed-goods position (a bill that has been voided or is being reversed does not),
- you have the purchases.debit_notes.create permission, and
- the supplier credits (debit notes) feature is in your plan.
- The finished credit is an ordinary debit note under Purchases → Payments & Credits → Debit Notes.
Create the credit
The page is titled Financial supplier credit with the bill number and explains: "Reduce the purchase price without returning goods. This creates a draft for review; it does not move stock."
| Field | Required | Notes |
|---|---|---|
| Original bill line | Yes | One of the bill's stock lines, shown as item name - net amount currency. If the bill has no eligible line you see "No eligible connected inventory purchase lines are available." |
| Credit amount before tax | Yes | A positive amount, up to 8 decimals. "Enter a positive credit amount before tax." The tax is not typed: "Tax follows the original bill's saved treatment. No physical quantity is returned." |
| Credit date | Yes | Defaults to today. |
| Supplier credit reference | No | Up to 255 characters, printed on the debit note. |
Click Save credit draft. You land on the new debit note with "Financial supplier credit saved as draft. Review and approve it before posting."
What SolaCount puts on the draft:
- Supplier, currency and the bill as the source; one line with quantity 1 and the amount you entered.
- Tax in proportion to the original line:
original line VAT / original line net x your amount, using the tax and rate saved on the bill, not today's settings. - The line name is the description saved on the original bill line. If the bill line has no saved name or description you cannot continue: "The original bill line has no saved name or description. Review the original supplier invoice and resolve the line description before creating this credit."
Saving twice (for example a double click or a refreshed page) returns the same draft; it never creates two.
A draft credit created this way is reserved against the bill line. You cannot edit its lines: "This supplier credit has a saved integration operation. Cancel it to release its reservation before creating a replacement. Its saved lines cannot be overwritten." Cancel the draft (void or delete it as usual) to release the reservation.
Post the credit
Review the draft on the debit note page and post it like any debit note (purchases.debit_notes.post, plus any required approval). The person who posts is recorded as the reviewing actor; the person who created the draft stays recorded as its creator.
What posting does depends on how much of the bill line has already been received:
| Part of the line | What is credited |
|---|---|
| Not yet received | The credit reduces Billed Goods Awaiting Receipt (and the recoverable VAT). |
| Already received and matched | SolaCount asks SolaStock for the value adjustment. SolaStock lowers the stock value and cost, and the difference is posted through the inventory (or cost of goods sold) account named in its cost plan. |
Example (AED, VAT 5%): Gulf Paper Supplies LLC billed 100 boxes at AED 12.00 (AED 1,200.00 + 60.00 VAT). The goods have not arrived. The supplier agrees a AED 100.00 price reduction.
| Account | Debit (AED) | Credit (AED) |
|---|---|---|
| Accounts payable - Gulf Paper Supplies LLC | 105.00 | |
| Billed Goods Awaiting Receipt | 100.00 | |
| Input VAT | 5.00 |
The bill's balance falls by AED 105.00 once you apply the credit (or the supplier refunds it) exactly as for any debit note. When the goods later arrive, the clearing journal matches the receipt against the reduced AED 1,100.00 booked cost.
Second case: all 100 boxes were already received and matched at AED 1,200.00. The same AED 100.00 credit posts Dr Accounts payable 105.00 / Cr Input VAT 5.00, and the AED 100.00 reduction is posted to inventory value through the SolaStock value adjustment. The stock quantity does not change.
After posting, the debit note is Unapplied with the full credit available, like any other. Use it exactly as in Debit notes: apply it to open bills of the same supplier and currency, or take the money back with a supplier refund. Applying or refunding changes the supplier's payable, not the stock value, which was already adjusted when the credit was posted.
Credits taken in parts
You can take several credits against one line, as long as their total does not exceed the line's net amount. Bill BL-2060 has a stock line of AED 1,200.00 net with AED 60.00 VAT.
| Credit | Net (AED) | Tax (AED) | Remaining net (AED) | Remaining tax (AED) |
|---|---|---|---|---|
| First credit CR-1 | 100.00 | 5.00 | 1,100.00 | 55.00 |
| Second credit CR-2 | 1,100.00 | 55.00 (the whole remaining tax) | 0.00 | 0.00 |
| A third credit | 10.00 | - | refused | refused |
The second credit takes all of the remaining net, so it takes all of the remaining tax rather than a rounded share. A third credit has nothing left to take against and is refused. If CR-1 is voided, its AED 100.00 becomes available again.
Lifecycle at a glance
| Stage | Debit note status | What it means | What you can do |
|---|---|---|---|
| Draft, reserved | Draft | The credit is saved and reserved against the bill line. Nothing is posted in the ledger and no stock moves. | Review, post, or cancel it ("Supplier credit cancelled. Its history is retained; no financial or physical posting was created."). Lines cannot be edited. |
| Posted, value pending | Unapplied | The accounting entry is posted. SolaStock has not yet confirmed a value change (only when part of the line was already received). | Retry synchronization. You can already apply it to a bill. |
| Posted, synchronized | Unapplied, Partially Applied or Fully Applied | Everything is confirmed. | Apply, refund, view. |
| Void, reversal pending | Void | You voided the credit; the entry is reversed but SolaStock has not yet reversed the value change. | Retry synchronization, or Cancel void preparation if the void was never executed. |
| Void, complete | Void | The entry and the stock value change are both reversed and the reservation is released. | Create a new credit if needed. |
Voiding follows the normal debit note rules (no applications and no refunds linked to it) and needs purchases.debit_notes.void. Voiding a credit never reverses a physical return, because none was created.
Status and retry
After you post, the debit note shows a compact status next to the toolbar:
| Message | Meaning | Action |
|---|---|---|
| Supplier credit posted — inventory value synchronization is pending. | The credit is posted in SolaCount; SolaStock has not yet confirmed the value change. | Retry synchronization (needs purchases.debit_notes.post). It never posts a second credit. |
| Supplier credit voided — inventory value reversal is pending. | You voided the credit; SolaStock has not yet reversed the value change. | Retry synchronization (needs purchases.debit_notes.void). |
| Supplier credit posted and inventory value synchronized. | Done. | None. |
| Supplier credit cancelled. | The draft was cancelled; "no financial or physical posting was created". | None. |
If the void preparation is stuck you may see Cancel void preparation; it leaves the credit posted ("The supplier credit stays posted; no payment or physical movement was changed.") and needs purchases.debit_notes.void. Releasing a credit that is on hold also needs the period-closure permission. A credit with a pending operation message reads "The supplier credit value operation is pending. Retry the saved operation; do not post another credit."
Completing a synchronization shows "Supplier credit value synchronization completed."
Rules worth knowing
- A bill with a pending credit cannot be voided or unposted until the credit is posted, reversed or released.
- You cannot credit more than the line's remaining net value (the original net amount minus credits already taken on that line). When your amount equals the whole remaining net, the whole remaining tax is credited so nothing is left over from rounding. A credit cannot be posted against the goods-received accrual while the invoice-first position is active: "This Stock purchase uses invoice-first matching. Reverse the unpaid bill safely before correcting it, or use a reviewed supplier-return workflow."
- Foreign-currency bills credit in the bill's currency; any exchange difference when the credit is applied or refunded is posted as described in Multi-currency.
- The credit is always financial. It does not confirm, request or reverse a physical return in SolaStock.
Permissions
| Action | Permission |
|---|---|
| Start a financial credit from a bill | purchases.debit_notes.create |
| Post it | purchases.debit_notes.post |
| Void it or cancel void preparation | purchases.debit_notes.void |
| Retry synchronization | purchases.debit_notes.post (posted) or purchases.debit_notes.void (voided) |
Tips and common problems
- The button is missing. The bill is a draft, was not posted with stock-managed lines, is being reversed, or you lack the create permission.
- I need to return goods. Use SolaStock's supplier return; do not use a financial credit.
- The credit amount looks wrong on tax. Tax is derived from the bill line, not from the amount you type. Change the amount, not the tax.
